Managing Notes in Notion

Overview

  • Use a master notes database in Notion to manage all notes.
  • Create different views of the master database for specific projects or tasks.
  • This method allows you to see only the relevant notes for your current project.
  • System is based on organizing by projects, areas, and resources.
  • Allows for instant access to necessary notes without needing to open the master database.

System Setup

Notes Template Setup

  • Properties:
    • Related to projects
    • Related to areas
    • Related to resources
  • Relation properties link notes to other Notion databases.
  • Example: Organizing a workshop:
    • Notes taken during a kickoff meeting are linked to the secret workshop project.
    • Only relevant meeting notes are visible in the project page.

Step-by-Step Setup

  1. Create a table view.
  2. Select master notes database.
  3. Use filters to show notes related to specific projects.
  4. New notes created from this view inherit project relations automatically.

Important Instruction

  • Every note must relate to at least one other Notion database.
  • Create a "missing relations" view to catch notes with no relations.

Taking Notes

Methods

  1. Home Screen Button:
    • Add new note using a Simple Notes template with current date auto-filled.
  2. Within a Project/Area Page:
    • Add new note directly; relation is auto-recognized.
  3. Save to Notion (Browser Extension):
    • Save online articles or videos as notes.
    • Defaults to relate notes to the curiosity area (a knowledge database).

Productivity Tip

  • Set up a self-referential filter for automatic note filtering by project.
