I hope we can start now. We are going to talk about the CRM module today. Thus, the main agenda of this webinar is to inform the general public and the end users about the features and configurations of Auto70 CRM module, which means the customer relationship management. Before going to the section, let me introduce myself and my company.

In addition, Odooo is affordable, simple to integrate, adaptable, and highly secure. Now, let's get started with the session.
We are discussing about the Customer Relationship Management module in Odooo 70. The Odooo 70 CRM module facilitates Effective customer administration and development develop a better company relationship. All new leads and opportunities can be readily managed, activities can be scheduled, and the commission plans can be used with ease. Leads can be gathered from multiple resources with Odooo's highly integrated design, including the company website, social media accounts, live chat, email and numerous more channels.
Leads from all these channels can be effectively managed with the help of Odooo70 CRM. For effective management of leads, opportunities and other CRM related procedures, sales teams can be assigned. So, by proper handling of leads, the sales team in Odooo plays a critical role in increasing revenue of company.
Regular communication with the client is crucial for taking a lead to next stage. With the user scheduled activities tool in Odooo, users can plan a variety of activities with customers. Then, using with the commission plan function in Odooo, users may award a particular percentage of total invoice amount to the partner who refer the sales opportunity to the client.
company. Then the last session is reporting. Reporting tool is one of the key component of any ERP system that help to understand how a module function overall.
The CRM modules report allow you to effectively analyze the daily, monthly and annual CRM operations. So let's check the features of CRM module. The window that appears as soon as you enter the CRM module is considered as the main dashboard of the module. The pipeline operations can be seen as arranged in different stages.
This platform comes under the My Pipeline option which is available under the Sales menu. In the module, as you can see on the screen, there are four main menus such as Sales, Leads, Reporting and Configuration. When we take a look at the ScanBan view of CRM pipeline, we can see that all records are being arranged in the window based on their progress in operations.
Leads are organized in the way that the user can be able to easily identify the progress of each lead. Assigning different stages for leads in CRM module was not a difficult task. According to the business requirements, users can customize the stages and arrange the leads under suitable stages.
As the title of the stage indicate, all new leads will appear under the new stage. Among the new leads, only qualified leads based on criteria will be moved to the next stage called qualified. Then the successful business leads can be moved to the stage 1 after getting confirmation from the corresponding customers. Similarly, you can create required stages for the leads effortlessly by using the plus stage button. When you click on this button, a new field will appear as shown to mention the title of new stage.
Spaced by the title, can I mention the title as done. Then click on the add button. So the stage is added here.
If we need to edit the stage, just click on the settings button. Here we can see, fold, edit, automation and delete options. If I'm clicking on this edit button, same here we can edit the stage name. And if you want to consider the selected stage as one stage for needs, you can activate the field. is one stage.
It's possible to fold the corresponding stage in the Kanban view by activating the Folder in Pipeline field. In the Sales Team field, you can allow to mention a particular sales team who uses this stage. Other sales teams will not be able to see or use this stage than mentioned in the given field.
The requirements to move leads to this stage can be specified. under the requirements field so that the team members will get an exact idea regarding the needs of this particular stage then click on the save and close button the expected revenue from each stage can be seen in the top right corner of the stage Users can change the stage of leads by using drag and drop option. If I'm changing a lead from one stage to another stage, the expected revenue will automatically update it based on the new record.
Then on each lead, you will able to find three stars to mark the priority of leads. Based on the priority of leads, you can give medium, high and very high priorities. From the main dashboard itself, you can schedule activities for each leads. The small clock icon, here we can see a small clock icon which help to schedule a new activity. Then a schedule an activity, click on this schedule an activity button.
From here we can schedule new activities. The menu offers you. separate platform to configure different type of activities in the configuration menu which we will discuss later here the new activity schedule window you can select the required activity that you are planning to schedule in the activity type field here I'm choosing the activity as called then here we can add in summary the due date and assign to a salesperson.
Once you complete the activities, you can use the mark as done button. If you have already completed one scheduled activity and want to schedule new one, you can click done and schedule next. In order to cancel the scheduled activity, you can click this cancel button.
Then the planned activities can be seen in green color and the red color indicate the overdue activities. Here we can see a red color which indicate the overdue activities and there are also a brown color. Activity that are scheduled for today will shown in brown colors.
Then you will get a quick add option. on each column to quickly add leads under specific stages. This option will be available in the form of plus icon near the title of stage. You can quickly add a new lead under each stage by using this option.
Mention the name of organization or contact in the given space, then the email address, phone number. and expected revenue priority etc clicking on the add button will add new lead to the corresponding stage if you want to make changes on the lead details you can click the edit button so we can see a new lead is added Then, the availability of advanced sorting options will be helpful for simplifying the searching process in Odooo. Here we can see filters, group by and favorite option in Odooo CRM includes various sorting tools to easily retrieve the required data within a seconds. Then there are decent views like list view. calendar view, pivot view, graph view, map view and activity view.
When we look at the list view, here you will get an advanced preview along with the details of opportunity, contact, email, phone number, company, salesperson, expected revenue and stages. Yo, if you want to contact the salesperson, you can click on the name of the person. then click on the send message from here itself we can simply contact our salesperson additionally you will get a if i'm closing this we uh you will get an email sms options on each lead which will help cool to connect the corresponding customers then let's move to the leads option Here, the leads can be considered as initial step before starting a business with a customer or organization. If a person or an organization is interested in your business, you can convert their interest into your business as a lead which can be later converted into sales opportunities.
It's possible to collect leads from various sources with the assistance of Odooo Sierra. Inquiry from or through phone calls, SMS, email, live chat, headless tickets, events, contact forms and many more can be converted into leads in Odooo. Proper management of leads generated through such platform should be carried out with utmost care and attention to improve the chances of success.
Odooo offers a separate platform for the management of leads in CRM module. In order to get access to the lead management window, users can go to the settings menu of the module set configuration. Then we can find a need option to activate under the CRM tab. Here I'm already activating the leads option.
So from this leads menu, we get a list of leads. If we want to create a new lead through live chat, here I'm open say new chat and I'm choosing slash lead and I'm adding a query and let's refresh Here we can see a new lead is created from live chat. From the internal nodes, we can view the details. So let's check how a new lead is created from our incoming email.
So before that, we need to configure an incoming email server. So let me add a main server. From enabling this, Use custom email server. We get incoming email server and outgoing email server option.
Here I'm configuring an incoming email which is already configured. Here I'm opening this. Here we can see the name, server type and the server information like that. Here I'm adding create a new record as leads and opportunities.
Then if a customer sent him. An email to the company email id and enquiry to a product. Please inform me about the product blacktop.
Then if I'm sending this email, let's check the lead from Ciara module and I'm refreshing this. Let me check. okay let's fetch it now it's loading after fetching i'm refreshing the page and move to the crm module and let me check here we can see an inquiry to product is created as a lead here and the email address is also given here if i'm open this here we can see the inquiry from in Incoming email is created as a lead here and here we can see the details.
So then there is another method we can create a new lead through the website contact form. So let's move to the website module and here we can see contact us menu and Before that we need to check the configuration or the action set on this button. Here I am choosing the edit option and I am choosing the button. Here we can see under the action, the action is set as create an opportunity. Then after saving this, so let's...
Fill the contact form here I'm adding the name as Jacob and email id, company and the subject as enquiry then here I'm adding the question as inquiry to laptop or enquiry about the products so click on the submit button so here we can see the message has sent successfully let me refresh the page and move to the crm module look at the leads here we can see the enquiry from the conductors page or the conductors page is created as a Lead here, which is the lead name is the enquiry and the email address here we can mention as we mentioned inside the contact form here the email ID is updated. So this is how we can create a new lead through incoming email, that site contact form and live chat. Then Odoo offers an effortless way to generate leads from CRM module itself. This feature is exclusive to Odoo. exclusively available on the enterprise edition only.
In order to get this feature in your Sierra module you can activate lead mining option from the settings menu of module. So we can move to the settings option then here we can see under the lead generation tab lead enrichment lead mining and visitor leads option. So we need to enable the lead mining option from settings menu then you can find this option under the lead generation tab as i mentioned so as you can see generate leads button will assist you to automatically generate leads from the needs management menu so here i'm going to leads management menu here we can see a generate leads option if i'm clicking on this As soon as you click on this button, a new pop-up will appear to mention the rules for generating leads. The pop-up window will look like this.
And here you can mention the number of leads required from specific target. You can set companies or companies and their conduct as target. Then, Along with these details, you are allowed to specify the countries, state and industry of target leads. Activate the filter on size.
Here we can see filter on size. Then you can assign a sales team and salesperson in corresponding field in order to manage the leads. Add suitable tags for leads in the default tags field.
Once you complete all the fields, you can click on generate leads button, which will generate leads based on already mentioned details. Don't forget that this is paid service and you need to certain credits to generate leads in CRM module. So then Go to configuration menu of the module where you can find lead mining option.
Under this way, here we can see lead mining request. This platform will show you all such lead generation request along with the details of request number, number of leads, target, countries, sales team, salesperson, tags and status. Using the new button here, you can create new lead mining request just like we did earlier.
You can create new lead mining request by mentioning the number of leads required, countries, state, industries, type, salesperson, sales team and default tags. in this corresponding fields. Using this lead mining request, you can effortlessly mine leads as opportunities. For this, you can select the corresponding option in the type field. Odoo will automatically save all these details in your database.
The users can effortlessly convert their website visitors into leads with the assistance of Odoo CRM module. In the configuration menu of this module, we get Visitor Lead Rule Platform. You must activate the visitor lead option from the lead generation tab which is available in the settings menu.
You can perform data enrichment based on the visitor's IP address. This feature works integrated with website module in Odooo. So, before using this feature, make sure to install the website module in your database. As you can see the screen, the visitor lead rule platform will show on.
Now, already configured rule with the help of details such as rule name and type. To add new rule, click on the new button. Then, first you can specify the suitable name for the role in the Role Name field.
Later, select the target of data tracking. It can be either companies or companies and their contacts. Clicking the active button, you will activate the newly created role.
Since we are converting visitors from the website, you need to set certain conditions in the website traffic conditions tab. You can specify particular countries, website. This will work using GeoIP.
Similarly, you can restrict lead generation to specific website only by mentioning them inside this website field. If you want to track particular web pages, you can mention URL expressions. in the corresponding field.
You can leave this field blank if you want to track the entire website. Mention the sequence which is used in order to in order the rule with the same URL and countries. Roles with lower sequence number will be considered first.
Then under the opportunity generation condition, You can set conditions for opportunities. In the industry field, you can mention the industries from which you want to generate leads. Then in this field can be left blank to always match leads.
You can filter companies based on their size by activating this filter on size. By activating this field, you will be able to get additional field to specify the company size. The company size can be defined based on the number of companies working in that particular company. Then here we can mention the type, suffix and the sales team, salesperson, tags and priority. After adding such tools, we can save the rule.
So, we discussed all available methods for the generation of leads with the help of ODU 70 CRM module. Now, we will be able to discussing the conversion of leads to opportunity. Creating a new lead has become an effortless task with the introduction of CRM module.
After getting a positive response from the customer, you can easily convert these leads into a successful opportunity within a few clicks. If the terms and conditions are agreeable for both parties, you can convert the leads into opportunity by using CRM module. In some cases, you can directly convert a lead to sales quotation according to the level of interest that the customer shuns to your business. So, let's check. a lead here I'm open a lead inside this lead we can add the lead name then probability we can mention the customer company details etc then here we can see the address websites sales person sales team contact name email email cc job position and the phone number email address such details Then inside the internal notes field, we can mention any internal note about the lead.
Then if we want to get extra information about the leads, we can use this extra info tab. After adding such details, we can directly convert this lead to an opportunity by using convert to opportunity option or using this button. If I'm clicking this button, we can convert to a lead. convert this particular lead to an opportunity or we can merge with existing opportunities from the same customer here i'm converting this to an opportunity then here we can see the lead is converted into an opportunity the lead will appear in this new stage before 30 minutes so if we want to create a direct quotation we can click this new quotation option If I'm clicking this option here, we can see the quotation is created for this particular customer. Then if you want to change the lead stage to one.
one we can click this one button and we want to lost the if we lost the lead we can click this loss button then here we want to mention the lowest reason it's also possible to configure lost ratio or lost reasons from the configuration menu itself so here i'm adding it's too expensive and i'm adding a closing node we'll check later then click on the mark as lost button here we can see this opportunity is remain as lost it's possible to restore the opportunity by clicking this restore button if i'm restore it it it will move automatically to the previous stage this how the leads are managed in Odooo 70 CRM. So all the created quotations can be viewed from sales menu. Here is a my quotation option.
From this view, we can see all the quotations created in the CRM. So if I'm removing this my quotation filter, here we can view the quotations created by different sales persons. Then here's in my activities, by using this my activities we can view all the opportunities which we schedule an activity.
If I'm going to my pipeline option here I'm adding a new need for Joel and here we can see Joel Williams opportunity. If I'm checking my activity here the Joel Williams act. Opportunity is not added here. Then I'm going back to my pipeline and adding or schedule an activity to do on the due date is set as May 1st.
Then after scheduling this, let me check the same opportunity here again. We can see the Joel Williams opportunity is added inside my activities, which means here we set a or here we schedule an activity. So, the next option is Teams. By using this sales team or under the sales menu of CRM module, you can find the sales team option, which give access to the platform where all sales teams are managed.
For the effective management of leads, opportunities and other CRM related operations, it's very essential to assign sales teams. From the preview itself, you can see all the opportunities, quotations, order to invoice and the other respective expected revenues by clicking on this pipeline option here ODO will direct you to the pipeline of the corresponding sales teams while checking this here we can see there are 11 open opportunities assigned for this particular team if I'm clicking on this and I'm open one pipeline or opportunity here i'm changing the stage from new to one stage sure then let's check the team again here we can see the opportunity open opportunity is 10 so which means there are only 10 open opportunities for this team now Here we can see one overdue opportunity and the four quotations and two order to invoice are created for this particular team. We can easily create and manage new sales team in Odooo CRM module so you will get the sales team option in the configuration menu.
So a list of already configured sales teams can be observed in this platform with the details of name of sales team alias team leader and company to add a new sales team click on this new button here we can mention the team name here mention the team name as team india then enable the boolean's pipeline and leads here we can mention the team details like team leader email alias accept email scrum company and the invoicing target and under the members tab we can add the members then here we can add the sales persons to add a or to create a new sales person we can use this new button otherwise we can choose the sales person from the list and click the select button here we can see as sales person in sanya is added here save this then Here we can see the sales team is also added in this teams view. Then here we can see under the settings option here is a multi teams option. By enabling this option we can assign a sales person into multiple sales teams. After enabling this option let's check here we have sales. a sales team named sales here the sales person named john is a member of this team so again i'm going back to my team india and let me check is it possible to add the same person here forward here i'm choosing add button I am choosing the salesperson John and save and close.
Yes, here we can see John is also a part of team India now. Then inside the configuration, the next option is team members. From here, we can view all the team members of each team separately.
Here we can see John and Michael is a part of sales team named sales and Sanya and John are the members of T-India. This is how the sales team will happen or handled in O270 CRM module. O2 provides you with the opportunities to do business with partners.
You can share your needs and opportunities with them to improve the relationship between partner and thereby enhance the business. If you get any sales opportunities from one of your partner, you can pay them a commission once a sale order is confirmed. This marketing strategy will help you to grow your business together with your business partners.
This option to configure a new commission plan can be found under reseller tab in configuration menu. Let's choose commission plans. To add a new one we can use this new button.
Here I'm configured a commission plan named 10% commission for partners. here the purchase default product is commission and we can mention the company here the rules can be added under rules stack if i'm here i'm choosing a product category all and set the rate as 10 percentage if we enable the cap the capital boolean then we can set maximum condition commission amount any customer choose a product from the product category all Then the referred partner will get 10% each commission on each sale. So let's check how it works. Before that, I need to set this commission plan under any particular customer or partner. Here I'm choosing Azure Interior and the commission plan set under the partner assignment tab.
So let's move to the sales module. and here i'm creating a new quotation for the customer i'm choosing the customer as michael and i'm adding the referrer as azure interior here we can see the commission plan and i'm choosing a product chair let me check the product category of this product here we can see the product category is same paul then the unit price is 100. if i scroll down here we can see the referrer commission is 10 percentage of total which is 10 dollars let's confirm this and complete the delivery sms confirmation let's confirm it and go back to the quotation and create a new invoice here i'm creating a regular invoice Confirm the invoice and register the payment. Yes, here the sale is completed and the payment also completed.
Let's go to the purchase module. Here we can see a purchase order is created for the referrer. if i map on this here we can see the product default purchase product commission is added here and the 10 percentage of total sale order and the 10 percentage of total sale order amount is added here we can confirm this create bit okay you need to add the bin date register payment So our referral Azure Ethereum get 10% commission on sales. Then in CRM configuration under this result here we can see the partner levels. Using this partner levels we can configure different partner levels.
By clicking the new button we can add the level name as platinum or silver etc. Then here we can add the level weight sequence. Here I'm setting the sequence as 1. Then we can enable this Boolean active. And here also we can mention the default commission plan.
If I'm choosing any commission plan here, inside the customers, I'm choosing one of my customer Joel and inside the partner assignment tab, if I'm choosing this particular partner, level then the Commission plan will automatically occur here then here we can also view the partner activations also by using this we can add new partner activations then inside the settings here we can see a section named partner commissions. You will be able to get the this option to activate automatic PO frequency and minimum PO amount total in the partner commission tab. The automatic PO frequency can be used to mention the frequency at which the purchase order will be automatically confirmed. The required minimum amount needed to automatically confirm the purchase order can be specified in the minimum PO amount total field. Then let's check the next option from configuration menu.
Here we can see this activity types. In order to take a lead to next level of operation, it's essential to keep in touch with the concerned customer regularly. Odooo allows you to schedule various activities with the customer with the help of scheduled activities feature.
This feature is available almost sales related and customer management modules in Odooo. Using this feature you can connect with your customers through schedule programs and you can find the activity types option from the Configuration menu as I said before so here we can see a list of previously created Activity types like email call meeting etc to add a new one we can use this new button here I'm opening the one which I created Already created here. We can see the name is scheduled meeting Then you can select the suitable action from the given list. Actions may trigger specific behavior like opening calendar view or automatically mark as done when the document is uploaded. You can set actions such as phone call, meeting, reminder, request signature, like that.
Then we can mention the default user also. the default user of this activity types and model in corresponding fields the default summary field you can specify few words about the activity and it will set as default summary of this activity type the icon decoration type etc can be set the Then, while defining a new activity type, you will get an additional tab to mention the details regarding the next activity. From here, we can see chaining type. We can choose suggest next activity or trigger next activity.
By selecting the Suggest Next Activity, here you will get a field to mention the next activity as a suggestion. By doing so, ODO will suggest the mentioned activity once the current one is marked as done. In the case of Trigger Next Activity, here we can see if I am choosing the Trigger Next Activity, you can mention the next activity in the Trigger field. Once the current activity is done, Then, Odooo will automatically trigger the next activity. Then, inside this Email Templates, you can add email template that can be used to send emails to concerned customer once this activity is scheduled with them.
You can plan the action deadline in the Scheduled field. Here you can specify. the number of days, weeks, months before executing the activity. By following these steps, you can effortlessly create a new activity type in Odooo.
Here we already discussed about the activity types previously. So let's discard the changes. Then the next option is activity plan.
Here we can create lead plans for acquiring these activities. Here I am creating an onboarding plan already. Here we can mention the plan name and company. Then activities to generate tab, we can mention the activity types.
It's possible to add new one by using this add a line option and here we can add the summary. Here we can choose the assignment as at launch and default user. Then here we can assign the user and we can add node. After adding this, let me create a new activity from my pipeline.
Here I'm created. Yes. Here I'm created, we can see here opportunity is created by using this clock icon.
Here I'm scheduling an activity and here we can choose the plan. When choosing this particular plan, here we can see the plan summary as email, to-do and scheduled activities. Then we can set the plan date. Here I'm choosing the current date and here we can see assigned to Michael admin.
if i'm scheduling this one here we can see the activities the activities which we mentioned inside the plan are shown here then the next option is recurring plans recurring plans are used to configure recurring revenues so before that here i'm going to settings So, under the CRM tab, you will get a recurring revenues field to activate which can be used to define the recurring plans and revenue on an opportunity. As soon as you activating this option, you will get an external link to manage the recurring plans. Using this external link, you will get access to new platform where you can configure recurring plans. Otherwise, we can choose recurring plans from configuration itself. Here I'm choosing the recurring plans.
Here we can see already created plans like monthly, yearly, over three months, three years, over five years etc. Here I'm opens one monthly. Here we can mention the plan name and months. Let me check how it's work. Here I'm going to my pipeline and I'm creating a new opportunity for here I'm creating it's for Here we can see the expected revenue.
Here I'm mentioning an expected revenue and here we can see an additional field to add the expected or recurring revenue. Here I mentioned $10 as recurring revenue and I'm choosing the monthly plan. After adding this, here we can see a plus icon. with the recurring revenue shown here if i'm changing uh the recurring revenue from 10 to 20 dollars uh while checking the pipeline here we can see the recurring revenue is also increased so after adding recurring revenue uh from the pipeline itself we can view the total recurring revenue from each stages like that then the next option is tax tags are nothing we can add tags for easy easily search our opportunities or like that here we can click on the new button to add new tags like if i'm adding the new tag as uh inquiry from website like that here i'm saving and it's possible to choose the color also let me move to my pipeline and here i'm choosing uh one of the opportunity and i'm adding the tag by enquiry from website then from the pipeline search options here we can see uh hack contains website if i'm checking here we can see uh the opportunity we can easily filter this opportunity like that Then the next option is lost reason.
As I said before we can configure lost reason. In any case if the lead is lost before adding or if we click on the lost button we need to add the lost reasons. So we can configure the lost reason from configuration. Then Let's check the settings options.
Here we can see the first option is recurring revenue which we already discussed. And the next option is leads. Then the multi-teens option. By enabling this we can assign a single salesperson into multiple teams. Then the next option is predictive lead scoring.
The predictive lead scoring option will assist you to compute statistical probabilities to close a lead. The success rate is computed based on stage, phone quality, email quality, and many other factors for the leads created on specific date. You can update the factors that are used to success rate computation with the help of update probability button. A new wizard will appear to add or remove the fields from statistical analysis as per your demand.
You can mention specific date here on Odooo will consider leads created on specific date. After defining fields, here you can click the confirm button or update button. and save new changes.
This can be used to calculate the probability based on factors set for success rate calculation. You can or you will get the probability to win the opportunity. So let me check one of the pipeline.
Here I'm creating a new pipeline. Like here I'm not mentioning any organization or contact. Then...
Let me create a new one. Let me create a new one. Here we can mention the opportunity as pricing and here I'm not choosing any organization or contact. Let's click the edit button.
Here we can see the probability is 8.22% So if I'm adding any customer here, I'm adding the customer Azure Interior. The Azure Adder email id and phone number updated here. Then the probability automatically changes and change to 59.26% which means the probability to win is increases. So this is how the predictive lead scoring works.
Let me check the next feature. It is role based assignment. The role-based assignment feature can be used to automatically assign leads to salesperson based on certain criteria. By activating this feature, order will periodically assign leads based on roles. All sales team will be used this settings by default, unless specified otherwise.
You can perform the assignment manually as well as repeatedly. If you want to run this operation repeatedly, you can set an interval to repeat. The next run date will be automatically updated based on the interval.
You can perform it manually by selecting the corresponding option. Here I am choosing the manual operation. After saving this, let's check the sales teams. Here I am open sales teams.
Yes. here we can see team india which we configure previously uh the here we can see assignment rules we can set domains here edit the domain here i'm adding uh the rule as country contains india yes let's confirm this here the team india will handles uh then leads from country india so then it's also possible to add rules on different team members also if i'm choosing san here here we can see a domain option and here we can choose new rules then here i'm choose the rule as state state contains data and long in. So here I am defined that the sales team team India will handle leads from the country India and this particular member Sanya is here to handle leads from Kerala.
