Clinical/Demographic Search Report and Export

Overview

  • The Clinical/Demographic Search Report in ICANotes allows users to create and export a variety of demographic information about patients.
  • The process includes accessing and running the report and exporting options, along with tips for frequently asked questions.

Accessing the Report

  1. Navigate to the Reports dropdown menu and select Clinical/Demographic Search.
  2. The default setting is for Patient Status as Active.
  3. Initial search results display all active charts.

Customizing the Report

  • Use the top features of the report to refine results:
    • Age/DOB: Specify a range or exact age.
    • Assigned Clinician: Select from a dropdown.
    • Additional fields are available for further refinement.
  • Ensure sortable columns are enabled for each search criterion to view results effectively.

Fields Available for Search

  • Demographics: Patient Status, Name, Gender, Age, DOB, SSN, ID, Veteran Status, Disability, City, State/Zip, County, Religion, Ethnicity, Income/Family Size, Native American status.
  • Insurance: Insurance Payer, Primary Clinician, Assigned Clinician, Outpatient Therapist.
  • Medical: Current Medications, Diagnoses, Tribal Affiliation, Admission/Discharge Dates, Site/Date of Last Exam, Referring Provider.
  • Other: Communication Preference, Self-Pay/Frozen Account, Where Seen, Room Number, MCM Authorization, Homeless, Deceased, Test Name/Results, Immunizations & Screening.

Exporting the Report

  • Click Export after generating the report to include additional data.
  • Export Settings:
    • Select categories or individual data points.
    • Options for Basic Info, Patient Accounts, etc.
  • Save settings for recurring reports by naming and saving the selections.

Additional Export Types

  • Standard: Exports default data ignoring settings.
  • Address: Focuses on address information.
  • Full: Exports all data.

Advanced Features

  • Chart Status: Change multiple charts to active, inactive, or pending with one click.
  • Referral Report: Lists all patients without referred services.
  • Admission Report: Lists patients by admission/discharge dates.

Export Retrieval

  • After exporting, retrieve the file from the ICANotes Documents Site.
  • Login and navigate to Exports to download in Excel or CSV format.

Tips & Tricks

  • Use the Shared checkbox to share report settings with your group.
  • For recurring reports, save search settings and set them as default.
