Onboarding 2.0 Overview

Purpose of the Lecture

  • Understand the high-level process of Onboarding 2.0 offered by SAP.
  • Provide a broad understanding before diving into detailed training sessions.

Key Terminologies

  • Provisioning Instance: Platform for configuration and setup.
  • Initiate Onboarding: Starting the onboarding process.
  • New Hire Data Review: Validation of candidate information.

Prerequisites for Onboarding 2.0

  • Employee Central (EC): Essential for the full onboarding experience.
  • RCM (Recruiting Management): Optional but recommended.
  • Additional Preparations: Attachment management, intelligence services, effective data platform settings.

Standard Onboarding Process

  1. RCM to Onboarding: Process starts when the candidate accepts the offer and is marked ready to hire.
  2. Onboarding Period: Time between offer acceptance and joining date (e.g., September 1 to December 1).
  3. Role Allocation: Tasks assigned to recruiters, HR admin, onboarding admin, etc.
  4. Review New Hire Step: Validate data from recruitment to onboarding.
  5. Parallel Tasks: Notifications and tasks for both the candidate and hiring manager.
  6. Data Collection Steps: Personal data and additional onboarding data.
  7. Form Generation and E-Signature: Standard and custom forms, e-signature requirements, and compliance.
  8. Manage Pending Hire (MPH): Final verification and employee creation in Employee Central.

Internal Hire Process (Cross Boarding)

  • Initiation: Through EC or RCM for internal promotions or transfers.
  • Process: Remains largely the same but does not involve manage pending hire (MPH) process.
  • Job Information Update: Job records automatically updated instead of generating new hires.

Process Variants

  • Customization: Country-specific process variants possible, but no additional custom steps within a variant.
  • Example: Different processes for US, UK, India, etc.
  • Default Variant: Comes with standard onboarding settings.

Task Management for Hiring Managers

  • Onboarding Dashboard: Overview of tasks and status.
  • Standard Tasks: Welcome message, buddy assignment, equipment requests, prep for day one, etc.
  • Task Flexibility: Tasks can be assigned to various team members or categorized by department (e.g., IT tasks).

Candidate Experience

  • Notification: Email notifications for tasks and updates.
  • Onboarding Portal: Centralized portal for managing tasks and data collection.
  • Steps: Data collection, additional data collection, document signing, task completion.

Compliance

  • Country-Specific Forms: Available for the US, UK, Australia, New Zealand, and Canada.
  • Limitations: Currently only five countries supported.

Restarting the Process

  • Reasons: Change in the start date, errors in data, etc.
  • Manual and Automatic: Restart can be triggered manually or via business rules.
  • Impact: Restarts from the beginning; already entered data may still be saved.

Rehire and Data Privacy

  • Rehire Process: Options for previous employees, managing new vs old employment.
  • Data Privacy: Regulations for data retention, deletion of onboarding data once moved to EC.

Off-boarding Process

  • Steps: Asset return, account termination, knowledge transfer tasks.
  • Similar to Onboarding: Follows a structured process with predefined tasks.
