Creating a Database in Microsoft Access

Steps to Create a New Database

  1. Open Microsoft Access:
    • Recent databases will appear at the bottom.
    • Templates are available for existing databases.
    • To create a new database, select Blank Database.
  2. Naming the Database:
    • Default name: Database1 (not descriptive).
    • Rename to customers.
    • Save location: Documents folder (can be changed).
    • Click Create to create the database.

Understanding Tables in Access

  • All data is stored in one or more tables.
  • Tables are similar to Excel spreadsheets.
  • Access starts with a default table named Table1.

Designing Your First Table

  1. Renaming Table1:
    • Click to add fields.
    • Define fields: Choose data type (e.g., Short Text, Number, Currency, Date/Time).
    • Rename fields without spaces.
    • Example Fields:
      • Field 1: FirstName (Short Text)
      • Field 2: LastName (Short Text)
  2. ID Field:
    • Automatically created (e.g., AutoNumber) for unique identification.

Entering Data into the Table

  • Data entry is similar to Excel.
  • Example Entries:
    • Rick Rost
    • Jim Kirk
    • John Luke Pickguard

Saving the Table

  1. Close the table after entering data.
  2. Prompt to save changes will appear.
  3. Rename the table to CustomerT (personal naming convention).
    • Avoid spaces and use consistent naming conventions.

Opening and Managing the Database

  • Open the database from the recent list or browse to its location.
  • Security warning appears; click Enable Content for databases you created.
