Summary

This guide provides instructions for creating and editing templates in BestNotes using the Template Editor. It covers user permissions, navigation steps, template editing and creation, use of AutoNotes, and group restrictions. Key cautions about copying content and best practices are also addressed.

Action Items

  • System Administrator: Ensure appropriate user permissions are granted for accessing and editing templates in BestNotes.
  • All Users: Follow outlined steps for navigating to and utilizing the Template Editor as needed.
  • All Users: Do not copy digital information directly into templates; use Notepad as an intermediary.
  • Responsible User (when deleting a group): Unrestrict groups in Group Notes and Templates before group deletion.

User Permissions Required

  • Specific permissions must be enabled for users to access and modify templates.
  • Users should contact their BestNotes System Administrator to request necessary permissions.

Navigation to Template Editor

  • From the Single Day Dashboard, users should click "Settings" at the bottom left.
  • In the Settings screen, select the "Templates" button to open the Template Editor.

Creating / Editing Templates

  • To edit a template, select its title in the upper right pane and click the edit button.
  • To create a new template, click "Create New Template" and enter a title in the provided field.
  • The editing pane allows standard word processing functions (text formatting, bullets, indents, tables, etc.).
  • Templates structure documents by locating key text and linking AutoNote collections.
  • When recreating existing documents, identify sections suitable for AutoNotes, then outline the rest of the content.

Working with AutoNotes and Content Import

  • AutoNote collections can be created anew or added if already existing.
  • Do not copy and paste content directly from Word, PDFs, or websites into the template editor; this may break templates.
  • To safely transfer content, copy it into the BestNotes Notepad first, then from Notepad into the template editor.

Group Restrictions

  • Templates can be restricted to specific groups using options on the right side of the editor.
  • Groups must be unrestricted in both Group Notes and Templates before the group is deleted to prevent issues.

Decisions

  • User permissions are required to access/edit templates — Ensures only authorized individuals can modify templates.
  • Caution against direct pasting from digital documents — To maintain template integrity and avoid technical issues.
