equip you with the skills knowledge and tools to grow your small business online and with that out of the way let's go ahead and get started with basecamp [Music] okay so let's get you up and running with basecamp to arrive at basecamp simply type in basecamp.com into your browser and that will take you to this page now like i mentioned at the beginning of this tutorial basecamp is more than just a project management tool and to see what i mean by this simply navigate up to pricing and click here then simply scroll down the page till you find this section here as you can see rather than using premium productivity apps and tools like slack asana dropbox g suite and others you can actually save a lot of money just by signing up with basecamp many of these features that these premium apps provide like slack which is communication to really move you away from messy email chains you can actually engage in chat through a feature called campfire on basecamp then with asana you have to do lists again you have to do lists and basecamp with dropbox you do have to pay for large amounts of storage however with the paid plan of basecamp you have access to 500 gigabytes of storage space so that removes the need for a cloud-based storage software like dropbox or google drive so if your business engages in all these different activities that these premium apps and tools provide consider looking into basecamp as an all-in-one place that provides all these essential features and the great thing with basecamp is they have one flat plan of 99 per month and if we navigate back up to the top you can see the features up here unlimited projects unlimited users 500 gigabytes storage space company hq and we're going to dive into a lot of these features when we sign up to basecamp again like i mentioned at the beginning of this tutorial you also have access to a personal plan a free plan that allows up to three projects 20 users and one gigabyte of storage space which is ideal for small teams however for the purpose of today's tutorial what we're going to do is dive into the 30-day free trial of the paid plan this way we can dive into all the premium features that basecamp has to offer now you don't have to stick to the paid plan before your 30-day trial you can downgrade to the free personal plan and depending on your business size and requirements the free personal plan might be sufficient enough for your requirements okay so with that covered let's navigate over to start a free 30-day trial and here what we're gonna do is quickly go ahead and sign up to basecamp and then meet you within basecamp's dashboard so go ahead and follow the simple step-by-step process of completing your basecamp account and we'll meet you in your dashboard okay and once you've completed the four steps to signing up to basecamp you'll arrive at your home dashboard so this is our basecamp home you can think about it as your primary dashboard where you can see all your operations you can manage all your projects teams your business communication everything is managed in your dashboard now up above we have the home so if we click here that's going to take us back to our home dashboard as we can see in front of us then next to that we have pings if we click pings this is where we can privately chat with individuals next to that we have hey and this is where all your relevant notifications to you will appear next to hey we have activity this is essentially where you can see all the activity that's been happening within basecamp next to activity we have my stuff and under my stuff this is essentially where you'll find all the activities that you've engaged in so you can see my assignments my bookmarks my schedule my drafts my recent activity my boost so everything related to what you've engaged on and again we'll come back under my stuff when we've created an assignment because at the moment we have nothing under my stuff now next to my stuff we have find you can type in a keyword related to projects team members anything and locate what you're looking for within basecamp now if we click out of here and then navigate back over to home you can see that your home dashboard is broken down into hq so this is your company hq headquarters you can see that cindy media is the name of our business and you can see our headquarter over here we'll dive into this shortly below cindio media your headquarter we have teams and below teams we have projects so first what we want to do is dive into cindeo media which is our company hq so to do that what we're going to do is click here and then select no thanks and within your hq this is all the information that everyone within your company needs to see and before we dive into these what we want to do is invite people to our company so click up here invite your company and then simply navigate over to add people and because you are the admin for base camp you can come down and add those individuals into their name email title if they have a title and then the company most likely it's your company and then come down to add personal note to the invitation this is if you want to add a personal note when you send the invitation below that we have preview and send email and below this you can see people already part of this company hq so what i'm gonna do for the purpose of this tutorial is go ahead and add one other individual to my company hq okay so i've added the information i need to invite this team member once you've added the information of your team members go ahead and send the email and as you can see we now have two people part of our company hq now if we click up here that will take us to our company hq now if you want to add remove manage people within your hq you can go ahead and do that here now down here on the left hand side we have message board if we click on message board this allows us to essentially start communicating with everyone on our team and you can see we have formatting options up here we can add a title and then add the message down here once you've completed the message that you want everyone within your hq to see simply come down and either save as draft or post the message then if we navigate back up to the top and click our hq again next to message board we have to do's if we click here this is essentially our to-do list so for the entire company what things do we need completed and this is where we can go ahead and create simple to-do lists let's navigate back to our hq and then down here next to to-do's we have docs and files if we click here this is where we can upload folders files documents multimedia anything that's relevant to our hq to everyone within our team think about this as a place where you can store your company documents and other important information all you need to do is simply click up here and click new then if we head back again and next we have one of the most powerful and exciting features that basecamp provides if we click on campfire this is a live chat feature so you can collaborate and engage with your team in the moment this is powerful a lot of project management tools do not provide this feature most of the time you'd use a tool like slack which is a premium corporate communication tool that allows you to engage real time with your team however with basecamp you have access to the campfire which is their own built-in real-time communication network and that is why basecamp is an all-in-one tool it disrupts the need for other applications and tools so essentially the feature campfire allows you to chat in real time with your team now if we navigate back to your hq next to campfire we have schedule this is where you can schedule an event for example if i click new event i can come down and click let's say wednesday next week the 30th of june and then come down and click add an event i can go ahead and type in the name of the event and then come down and select these options i could click all day starts wednesday ends the same day i can come down to repeat and i can click repeat every year because this is the company birthday and then down here we can go forever or until and pick a specific date then we can come down to with and add everyone in our organization we can also add notes or attach a file and then come down and click when i post this don't notify anyone or let me choose who to notify and then i can go ahead and click select everyone everyone within our company hq headquarters and then click save changes at the moment there's only one other person in our organization but that gives you an idea of how events work and how you can schedule events then click post this event and as you can see we have one event scheduled coming up then if we navigate back to our hq and then next to schedule we have automatic chickens this is a powerful feature if we click here basically this allows you to create automatic questions check-ins to see what people are doing to see the progress to ask people to engage with your team and to ensure people are productive getting things done there's lots you can do with this for example these are some questions you could ask but if we go ahead and create a new question by selecting new question we can come down here and type in what did you learn this week then below that we have how often do you want to ask this question so down here you can see daily what we want to do is click once a week and then navigate across to friday every friday we want our team within our hq within our company to answer the question what did you learn this week so every friday then navigate down to at what time of day we want to click end of the day 4 30 pm you can also select a custom time down here who do you want to ask we want to ask everyone within our organization and that is the automatic question or automatic chicken that we want to ask every week click start collecting answers and everyone will be notified of this question at 4 30 pm every friday you can also navigate up to the top right hand side and then you have some options down here what i'm going to do is navigate back to our hq and then before we finish up and move on to teams we also have a few other areas we have company hq activity so this is the current activity within this company hq and then we have some basic information down here now if we navigate back up to the top and then head back to our home dashboard you can see that we've just talked about our company hq cindio media this is our entire team then below that we have teams this is the next stage of understanding basecamp now you can see that we have four teams we've got customer support marketing r d and sales we set this up at the start when we signed up to basecamp what you can do is change these by simply clicking the three dots coming down and renaming the team for example i could click and type in hr and click save to change that name now we can also delete each of these teams if we like so if i didn't want hr anymore i can come down and click delete i can choose to archive the team or put in trash i'm just going to get rid of this team so what we're going to do before we dive into projects is actually go ahead and create a new team simply click new and then come down and name your team and then simply click save then click on one of your teams and under teams when you select a specific team you'll notice that the layout within teams is similar to your company hq and the layout that we discussed before as you can see the features are the same we have message board rather than messy emails back and forth with your team you can collaborate with your team on the message board you can also create to do's again we've discussed all these under hq so we'll briefly cover them again now to do if you have a to-do list things you need to be completed within your team docs and files that you can upload that are relevant to this particular team then campfire remember this is live chat so that you can communicate in real time with your team next to that we have schedule you can schedule specific events that are related to your team then we have automatic chickens remember these are questions that you can ask your team by setting up automatic chickens and lastly within teams we can go ahead and invite people that we want to join this particular team in this case we would invite our developers to join this team okay now we want to dive into projects simply click home and then navigate down to projects under projects you can see that we have two default projects what we want to do is that you navigate up here and create a new project simply add the name of your project in this case we're going to name this project client a web design then once you've named your project click save and then select the new project that you want to set up and the first thing we want to do is invite people to this project so what we're going to do is click invite some people and then click add people now one of the other great things about basecamp is you can not only add your team members to a specific project but you can also add your clients and this is important especially if you want your clients to be able to monitor progress of specific projects so what we would do for this particular project client a web design this is a project we need to complete for a specific client a web design project so what we could do down here is add the client or the individual that is representing this client to monitor the performance of this project and this is where basecamp stands out so go ahead and add your teams or clients what we're going to do is exit out of that and head back to our client a web design dashboard and then with most projects what we would do is focus on the to do's this is basically the tasks that need to be completed for this project we're going to select to-do's and then we could come down here and add website pages then we want to add a list and then what we want to do is describe this task for example the description could be create all 10 website pages because this to do this task is a website pages these need to be completed there are 10 website pages that need to be completed below this we've got assigned to i can go ahead and add someone to assign this task to that's going to be me in this case and then below this we have when done notify so i can select someone to notify when this task is complete below this we've got due on i can select a specific date i'm going to go 30th or i could select runs for multiple days then down here you can add additional notes or attach a file so for example i could add the 10 website pages that need to be completed then once you're ready click add this to do now i could also go ahead and add additional tasks that need to be completed within website pages or in this case what i could have done is rather than create all 10 website pages here each of these lists these two do's could be individual website pages that need to be created in this case i could have had 10 to do's however i'm going to cancel out of this and then navigate back to to do's and i can go ahead and add one more and this could be called website branding and then come down and click add this list i'm going to go ahead and fill out these details quickly and then click add this to do and i want to go ahead and add one more to do and then click add this to do now if we navigate back to to do's you can see that under website pages we have one to do and then under website branding we have two to-do's basically when each of these tasks are completed all i would do is click tick and you can see that one out of two are completed so essentially basecamp keeps projects extremely simple by breaking them down into to-do's making the project journey a more smooth ride then if we navigate up to view as and then rather than viewing your project in a list we can view our project as cards view to-do's as cards and as you can see our tasks are broken up into cards rather than lists okay now if we head back to client 8 web design this particular project dashboard and navigate down you can see project activity and then some of the details like the timeline over here now if we navigate back up to home we now understand our company hq teams and projects okay so if we head up to activity we can now see the latest activity and if we head over to my stuff you can see that we have two assignments now if we click here and that will take you here where you can see your assignments my assignments with dates stuff i've assigned you can see that i've assigned it myself to website branding and this task over here this to do and the same with website pages this to do down here now if we navigate back to home the last thing we want to cover before you finish up is admin land now if you are the admin and you've completed the initial setup of creating a basecamp account you should be able to see admin lan if we click here this allows you to manage and customize your basecamp account take the time to go through these basic account settings for example down here you can upgrade to a paid account or you can cancel your account then if we navigate up to the top right hand corner you will see your initials if you click here we can come down to personal settings and customize our profile now you can also download on ios or android and these allow you to stay up to date with projects activities you can
