Types of Reservation in Hotels

The term Reservation in context of hotels is largely used for advance booking of hotel rooms but you can also book other facilities and services offered by a hotel such as a banquet, meeting room, restaurant table etc. We have already discussed, what is reservation, functions and hierarchy of the hotel reservation department in our previous video. Our today’s topic is Types of Reservation. Reservation is mainly of three types; Tentative, confirmed and waitlisted reservation. Tentative Reservation: In the early stage, all reservations are tentative until and unless confirmation is not received by the hotel from the guest before the cutoff date. A cutoff date maybe 12 to 48 hours or more in advance before the date of arrival. The hotel holds the reservation until the confirmation is received from the guest or till cutoff date. The time period for which hotel hold the reservation is also called stipulated time period and during this time period reservation is a tentative reservation. If there is no response till cutoff date, the hotel may cancel the reservation. Once a hotel, received a confirmation mail or call from the guest, then it changes the tentative reservation into a confirmed reservation. Usually, the hotel sends an acknowledgement mail to confirm his reservation or some hotel even call to remind or confirming whether the guest would come or not. Once the guest confirms his status of arrival, the hotel confirms his reservation and send a confirmation mail containing all information related to his reservation. A guest holding confirmed reservation has a right to get reserved accommodation. Confirmed Reservation is also of two types; guaranteed confirmed reservation and non-guaranteed confirmed reservation. Guaranteed reservation guest provides some kind of guarantee and protection to hotel revenue. As a guaranteed hotel may ask advance payment. If a booking is made through some travel agency or company/organizations, then these companies are treated as a guarantor. In the case of Non-Guaranteed confirmed reservation, the guest confirms the reservation but doesn’t provide any kind of guarantee. In this case, the hotel holds the reservation till 6 P.M on the date of arrival of the guest. If a guest doesn’t turn up till that time, the hotel may cancel his reservation. That’s why it is also called 6 PM release reservation. There is also another category of reservation called waitlisted reservation. A reservation is put under waitlisted when a particular type of room is not available for requested dates. The waitlisted is confirmed when another guest amends or cancel a room for the same dates. Let’s take an example to understand the different types of reservation. David called a hotel on 25th May 2020 and made a room reservation for 26th November. And according to hotel policy, cutoff date is 48 hours in advance. Then David must reply to the confirmation letter or mail sent by the hotel before 24th November. David confirms his reservation on 24th November. Till 24th November it was Tentative Reservation and after confirmation is received it becomes confirmed reservation. Now if guest provides some guarantee while confirming the reservation, or his reservation is made on behalf of some travel agency or company, then it’s called confirmed guaranteed reservation. If the guest only confirms but doesn’t provide any guarantee, then it’s called a non-guaranteed confirmed reservation In this case, we hold the reservation until 6 P.M on the date of arrival of the guest. And usually, hotel cancels the tentative reservation unless confirmed before the cutoff date offered to a guest. But what if a hotel doesn’t have rooms available for the requested date. Then, the hotel may put the request under waitlisted reservation. Waitlisted reservation may be confirmed if someone cancels or amends their reservation for the requested date.
