Creating Main Accounts in Dynamics 365

[Music] welcome to the microsoft erb beginners tutorial episode number four this episode is a continuation of episode number three um just in case if you missed watching episode three please do watch it and come back to this this video uh in episode number three we have we had an introduction to the chart of account and main accounts and in this episode we will be going ahead and keying in the main accounts into the newly created legal entity so with that let's get started with creation of main accounts [Music] so uh for creating a main account we need to click on the new button so as discussed in the episode three here are some of the sample main accounts that have captured normally the business in the real life you will have thousands of main account and at this point i only have around around the 30 odd main account to be configured but as in we as we progress into different topics we will also add an additional accounts wherever it is necessary for now let's start the course with this list of example made account so um these are the headers at the top and here is another header header header and header so let me first create an header so the header account is not an actual transactional account it is just a reporting account that will uh show up in the finance reporting and there's no transaction will be posted into the header main account so let's first create a main account a reporting main account so click on the new button and copied the main account number and let me also copy the names going to be the asset search and as i mentioned the main account type needs to be reporting because this is not the transactional account and the reporting type is going to be headers just save it i am not going to go into the details of all these fields because they are not in scope for the supply chain course we will definitely do a separate series for finance and cover all the fields here so this is one reporting entity that we have and now i'm going to copy the next one that is that one and just add it paste it here and the name of the account is fixed assets and again this is a sub header so subheading so we can still give it as reporting and heading that's the second account and that's the current asset and reporting and header save it the next one liability reporting that's expense and select it as again reported the last one i'm going to key in manually is revenue and again they are same as the others so we have kid in manually all the reporting non-transactional main accounts so if you just go back and check this this looks like this but it's going to be very tedious for me to go ahead and key in all the accounts manually so i'm going to use the the excel integration of dynamic 365 with office 365 as an advantage and going to import all the main accounts into the system through an excel so how do we do that is every screen in the microsoft dynamics 365 i do have this office 365 icon at the at the top let me highlight my cursor so that you can see it better so that that one that icon at the right hand side corner so just click on it and then you will get the options so choose the main account option and click on download and open the the excel that's coming the bottom let me try to wait for the excel to open and that's going to bring all the fields from the previous screen into the excel as you can see all the fields are here and if i press on edit i will see that all the um it's trying to fetch all the data that that is in the previous screen so let me wait for a while to [Music] so the table binds some error let me try to refresh it say okay let me copy all the data from my previous excel into the relevant columns that there is into the main account and the account name so let's first start with the fixed assets so copying and paste it here and now we need to fill the relevant main account type so these are all asset accounts so i'm going to choose the asset and put and drag it down there so likewise let me now copy the the remaining asset account and paste it below here and pull that set until the dot and the next is the liability so let me just copy the liability account at the account name from the previous excel i paste it here so these are all liabilities so let me just choose liability and drag it until done and the expense again um copying the expense and pasting it there and choose the expense truck so last but not least is the revenue so same same thing for the revenue copy paste and in the account type it's going to be the revenue and drag it and the last thing we need to do is to paste the chart of account name which i'm going to copy from my legal entity which is adc coa copy and paste and just drag it until the top okay then just save it so now let me publish it there's a publish button just click on it and it will start publishing it it says the publish successful and the workbook updated so that means that i can now go ahead and just close it because the data is published successfully uh let me go to the previous screen and just refresh it and i will see that all the main accounts are now published successfully and in fact they are in a proper order like you have your header account non-transactional and the sub header and you have all your transaction likewise for the other assets and so the the chart of account is now set so you need to just copy that and go back to your general uh that is your ledger screen and assign your chart of account over there and it's done so uh that is how you key in the main account and create a chart of account through the manual process and excel import so the next step which we will be seeing in the episode five that is next episode is going to be set up for the physical calendar and the currency setup and what is the reporting currency what is a accounting currency and what is this exchange rate and we will also just uh go through um what are this for and what is the account structure and so on in next episode
