hello hello welcome to another awesome week of kajabi Fireside Chats I'm Sue from the Unicorn advisory I'm here with Kylie from the payments team so excited to have you here with me Kylie thank you I'm so excited to be here we're gonna be talking all things in voicing um before we get started though I would just love to know what was your kajabi hero live highlight what was the thing that you enjoyed most or the thing that you know you your was your biggest takeaway from kajabi hero live good question I feel like the first thing that comes to mind and it's probably I'm sure if you ask most of us the most common thing and maybe it feels like the most trivial but really it is like connecting with our heroes I get to be fortunate enough to talk to our Heroes all the time yourself included when we have betas and Alphas of new features and products and we develop like relationships with these people like emailing each other and getting feedback Etc and there were a couple of Heroes that I didn't know that were actually going to be coming that I've been emailing with and talking to for forever and they came and like gave me a tap on the shoulder and it was such a pleasant surprise to be able to like give the people that I talk to all the time like a hug in real life um I think that that was like my absolute favorite part even to get to give you a hug Sue I was very always always a pleasure um do you know what I loved on your stand because um if you were it kjab here live um you may have gone and done the um visited the payments team where Kylie was available your little cool thing where we got to win prizes doing the Plinko yes I should put the video up of me being extremely excited to win some hand sanitizer what was so funny is there was a team that was on the opposite side of us and the Plinko we didn't realize how loud it would be so every time someone would come and do it he'd be like shocked what on Earth is this loud noise coming but yes we had so fun with the Plinko on the kajabi payments team if you were at KHL the year prior you also know we had a money Booth so we like the very interactive things the payments Booth yeah nice that's so cool that is so cool all right well today we are here to talk about invoicing a new feature that kajabi has introduced so Kylie is going to take us through invoicing what it means how to use it um and one of the things that I just wanted to double check with you Kylie um this is rolled out to all heroes isn't it yes that is correct um but you have to be using kajabi payments to be able to see it so if you don't see it in your dashboard that is because you don't have Punjabi payments turned on so it's available to everyone or to every kajabi payments user so we'll be talking a little bit more about that this week we got a few payment related um fireside chat sessions so um payments is rolling out it's currently available for us Australia Canada and the UK is that correct and then rolling out to other countries through this year or through the rest of this year and into next year yes exactly uh yeah maybe preview about the EU coming up soon if anyone is here from the EU you are going to be excited or watching this on the replay we'll talk about that afterwards but let's let's jump in and um you can tell us all about invoicing um if you do have questions for Kylie please do pop them into the chat because we'll do a Q&A afterwards after you get to to have a look at invoicing and she is happy to answer um all of your questions so pop them in the chat and Away you go Kylie let's let's look at advicing all right let's dive straight in so like Sue said today we're gonna be talking about invoicing with kajabi payments so invoicing is a tool of kajabi payments and is exclusively available for those that are using kajabi payments in the given regions that Sue mentioned earlier um invoice allows you to use an all-in-one solution to create send and manage invoices directly with kajabi which is where you are already creating and selling your products today uh the reason that we build this is really to like help streamline your workflow we wanted Heroes to be able to save time and provide like a professional invoicing solution we know lots of Heroes are using invoicing tools outside of kajabi and as we continue to lean into the all-in-one solution this is something that we really wanted to be able to make available for Our Heroes so some of the cool things about invoicing and we feel like it is perfectly ideal for offering flexibility so being able to provide for example a one-time discount to a customer to handle maybe like special pricing um another great example is for simplifying your payments so you can easily manage one-off payments like paying off a payment plan early I think we see this most commonly maybe someone has a multiple payment plan of 12 p pays over a year and six months in they're like hey I'm kind of overpaying this can I just pay the lump Sun for the rest you can easily use an invoice to be able to do this and like have it all in kajabi and finally I would say the most common use case that we see people use invoicing for is for B2B transactions so it's perfect for speaking engagements or any kind of like corporate services that you that may fall outside of your standard offers you can easily send them an invoice and then use it there like said invoicing is currently available to Heroes that are using kajabi payments so even if you're available in one of the regions Canada Australia the us or the UK EU coming soon um if you haven't set up kajabi payments in your account you can head over to your payments integration settings or I guess formally called payments integration settings it's actually now called the kajabi payment settings and enable kajabi payments and then invoicing will show up in your dashboard otherwise you will not see it for now um finally the last thing I want to call out before we get into a little demo of invoicing is that the there is a fee for using invoicing it's in line with like all of our uh industry standards and price the same as what stripe is and that's 0 4% for each invoice okay now I have a little video let me get this all configured for you I'm going to push play and then actually pause it because this goes really fast and slow it down a little bit um but before we actually get into this let me make it maybe full screen so it's easier for you to see before we get into everything and I show you what the new invoice creation flow looks like you can see here this is what invoicing looks like when it's enabled within your dashboard so you can see it's under sales then we have invoices here we've have a bunch of invoices that have been created which goes to show that uh our I guess shows that there's been invoices created within this dashboard if you don't have any obviously no one nothing will show up immediately but the first thing that you will do then is come over here to new invoice and select to create the new invoice there we go so I'm going to pause it again now you can see in this invoice creation flow we have the option for you to add a customer so we're going to come in here and you have the option to either select an existing customer you can see here we're typing Stephanie and Stephanie options come up of all the various Stephanies that we have within our existing contacts today however if you wanted to create a new customer you can come here and click this plus button and then you have to fill out their first and last name in your customer's email and then it'll automatically create a new contact in your contact Section so for today's purposes we're going to select a new or an existing customer and now let's get into adding an offer I'm going to pause it again something that I do want to call out is that invoices today is still based off of offers I know we've received a lot of feedback of Heroes wanting to be able to separate offers and send a one-off invoice without it being attached to an offer that is something that we're looking at however at this time kajabi is built off of offers and that was the way for us to easily and quickly be able to get this out so you'll see as we continue to go through you have the option to select an existing offer or you can create a new one if you choose to create a new offer it'll take you through a simple offer creation flow of adding the name the pricing the currency you can also select to add sales tax and have that set up while you're going through this flow without having to navigate back to the offers page and create it individually but again for the purpose of this quick demo we're going to choose an existing offer with this as you can see too I'm pausing again you can add quantity so I think this is a really great example if you're going to be using the B2B option say you're selling to a corporate client and you want to sell 50 seats you can easily add 50 of this individual offer and then create the invoice and generate it and send it to that uh your client your client another cool part is being able to Discount the price of this offer so while the offer was already set up to be exactly $100 you can add addition to it if for some reason maybe you want to have to a line item that you add a note about down here or if you wanted to discount it as well so it was originally $100 maybe you want to discount it to $50 for some reason for this client you can easily do that as well without having to go and create a brand new offer now we're going to select a due date so we're going to choose the 30th of November and then you can add an additional note so we're going to see this is a note thank you here and then now that we're at this space we have the option to either save it as a draft or to send the offer if you choose to save it a draft you can come back and edit it later or if you choose to send you're going to send an individual customized email to this specific uh client with the invoice and a link to their custom checkout page we'll look at that in a little bit but now you can see that we easily created the new invoice and now has an open status and um this is the overflow menu we'll get into that a little bit too but this is like the easy invoice creation flow all right let me exit and go to the next one thank you perfect okay invoice management so like I was saying earlier there is the option to when you click on that dot dot dot or overflow menu you have the option to either resend the invoice if needed maybe you want to send a customer a reminder it's coming up or it's pass due you can easily send I believe it's up to two emails a day of sending the same reminder emails for that invoice you also have the option to Market as uncollectible void or actually Mark the invoice as paid so if you're a say for example you're like meeting with a customer in real time and you're sitting together and they're like oh you sent me this invoice but let's just pay it together you can easily come here and click on this collect payment manually and then it'll open that custom URL with the checkout page for that specific customer and you can either enter in their card their credit card information right there as you're sitting together or this is another great way to get that URL and I know people who put the URL and various things they'll send them separate emails with the URL to the checkout this is a way to get that to generate that URL that's custom for this specific invoice as well um and then finally you can Market as uncollectible or void um and this is or as paid we'll get a little bit into the statuses in a second but this is the way that you can come and update those statuses as well okay let's talk about the statuses so when you send a kajabi a kajabi invoice it m it moves through a few different statuses as they progress so like we talked about at first you have the option to before you even send the invoice to set it to draft so maybe you want to get it started you haven't officially determined with the customer or your client exactly what's going to be included in the invoice you can still start an invoice easily and then come back to it and edit it later then once you send the invoice officially it is marked to open so this is when the invoice becomes open after sending at this point when you mark it as open it is locked for editing as it awaits the payment so you can't come in and edit the due date or update the um offer that's attached the note Etc however when you send the open invoice or you send it and it's marked as open your customer will receive a unique link to view and pay the invoice directly and then once it is paid it is then marked as paid and this is when the payment has been completed the status is updated is paid and again this status cannot be changed afterwards we have two ways that uh a invoice can be set to the paid status one is is of course by your client or your customer completing the payment and the second one is manually marked as paid marking it as paid like we mentioned earlier maybe you used an off platform way to pay maybe you sent uh venmo or there was another way that they paid you can manually still Market this so it's still easy for you to go and manage your invoices and see their actual real statuses even if the payment was collected outside of kajabi and then finally there is void or uncollectible both of these are optional if you need to cancel un cancel an unpaid invoice you can easily mark it as void or if a payment is unlikely or it goes too far into P due and you don't believe you're going to be able to pred uh collect it anymore then you can mark it as uncollectible both of these statuses ensure that your invoice won't be payable and can help keep keep your records clear but I do want to call out that for both of those as well once you Market as void or as uncollectible you are not able to update the status later on you'll have to create a new invoice okay now that we've talked about the statuses let's talk about what your customers receive when you send them an invoice so this is a simplified version however in this screen in the image this is basically the email that your customers will receive excuse me when you send them an invoice I do want to call out that these emails are sent transactionally so if your customer you already have a relationship with them maybe they have your email say to make sure that things don't go to spam or anything along those lines I do want to say that it will be sent as a transactional email so it might not be the exact same email as what you expected or what they would might expect to see from you standard as like a marketing email um when they receive this it has all the information it has the invoice amount the due date as well as the link to the note the note that you add as well as a link that says to pay this invoice and this is what they can click on to go into kajabi and that unique URL for the checkout page to pay it officially finally I just want to touch on some quick uh additional features that we have along with that come along with invoicing like we talked about this is an easy all-in-one solution where you can stop using additional thirdparty tools and move everything into kajabi to be able to use your invoicing we believe that our heroes are saving time by doing this not having to navigate back and forth between different um platforms or we know lots of Heroes who are still using their offers today without the invoicing feature and having to chase down payments and so having this invoicing feature is helping save them a tough time and then also because it's using kjab payments you get flexible payments so you are able to enable afterpay Clara Apple pay Google pay all of the additional uh features that come along with kajabi payments are available to be um are available within invoicing and finally I wanted you to all hear directly from some of our heroes about the input PCT our invoicing features had on their business so since launching invoicing in mid October we have actually already processed over 400k and bringing creators faster payments simplified billing and more time to focus on what they love so we have here KJ oh sorry go ahead Sue no I just said that's awesome love it that is a okay you can interrupt me anytime um but KJ of Joyful life with KJ is a health coach that has a passion for helping people transform their lives through simple joyful choices and has said that invoicing has been a game changer for them and then we have George the founder and CEO of past GP which is an AI platform plat powered platform uh offering personalized learning virtual practice and exam prep for doctors taking special IST exams and has also been a game changer for them as well so that's my Spiel on invoicing now we can get into questions Etc but first before that Sue I would love to hear how you have liked using invoicing today yeah I mean I'll will share how I'm using and I'd love for everyone in the chat as well if you're already using invoicing to share your stories very excited drra said that's that's my client who's on your slide it's always exciting when that happens um so I one of the the my current favorite uses for invoicing um is instead of using coupons because one of the downsides of using coupons is if you do have coupons for example I sent a survey out to my audience last month and I offered $50 of uni coins um which is like credit for everyone who filled out the survey um and in the past what we've done when there's only a handful of people is we've just then manually created a coupon for that person and then asked them what offer it is that they wanted to buy and then s that but then you've got to remember after the coupon is used to go and then remove the coupon because otherwise that coupon field is going to show up on every checkout and it has just been so much easier and it just saves a whole lot of hassle just going in and getting the offer they want and sending an invoice for that offer with the amount adjusted so that has been fantastic um I didn't actually think of adding prices on like one of you know what you just said before about adding that could be really useful if you're kind of doing an impromptu bundle for someone like maybe you've got a course and you're going to offer them something extra and you don't want to have to go through the hassle of setting up the offer for that extra thing maybe it's you're going to offer a coaching session and you you're doing it at a a different price and you don't want them to have to put two things through together so I love that um I've also used it the other two things that I've used it for is for services um for deposits um for taking a deposit um for a client even if it's to hold the date so when I've done VIP days um usually I'll request payment up front but sometimes I might be like you know they might be like oh you know we just got to organize get approved approvals things like that and I'll say all right well I can hold your date if you pay like $100 or something so being able to just do that really quickly and on the Fly is nice um and then for extra work on client jobs so when I'm you know in the service provider um work sometimes we've done extra things impromptu on the Fly Etc and then being able to just invoice for that and not have to create an offer in the past we would have had to have created an offer just for that person um so it's been really nice to just be able to to do that so um yeah would would love to know if anyone else is already using invoicing what you are using it for I I love hearing different use cases because it gives you ideas of things where you're like oh yeah that's that's so cool I could use it for that yeah exactly I think it's so fun like that's how the in addition to was something that like to be honest we had thought about a little bit but not something that we were thinking that people would use all that often and in the last few weeks we've seen people start to use that more and more for like some one-off work for example I think on Friday you had Vinnie from our team uh speak and so his wife actually uses invoicing for her business and she does things uh I think she she was the first person that I ever saw use that like in addition to for like basically a custom line item or something extra that is added to the offer instead of having to go like you said create a brand new offer she just like added it to that note at the bottom to like show that it's a line item and easily add like in addition to $50 or whatever it is yeah and Erica is saying it would come come in super handy for a one-time um book proofreading job that she did so something that's not like your normal work but an extra thing that yeah you don't want to have to go and create an entire offer just for that one thing um but I will just say and Kylie you can you know potentially help me explain explain this um one thing that I did discover early on in the testing is to really make sure that you are optimizing the offer so one of the things that you had suggested is perhaps create like a generic like consulting or um some kind of service offer because your offer settings are still like in terms of what's going to happen after the payment where someone is going to go like the post purchase settings um if you have an offer that's like um a Consulting offer for example make sure that you're not sending that default email that will prompt someone to log in um make sure that you change this is how I do it anyway I change it to none and then send an automation email this is for the email that they get um and then I always create like a thank you page for that offer rather than send the client to the library because otherwise they might land in the library and there's nothing in there and it could be a little bit confusing um so one thing that might be really helpful if you create a Consulting offer give yourself an invoice for like five bucks or something just so you can actually see the flow and what happens after the invoice is paid from the customer side so you can experience that but that's my suggestion yeah no I totally agree I think um uh we've gotten lots of feedback like I said earlier that our heroes want to be able to send an invoice without attaching it to an offer that is something that we are exploring right now but for the meantime I do highly recommend creating a one-time offer whatever it works best for your uh business if it's like consulting or you just want to call it like invoice and then you can really customize it however you want and add price you can add quantity or not attach a specific offer or not have any products excuse me attached whatsoever it really is like quite custom iable but then also you don't have to worry about having a million offers related to invoices as well yeah definitely definitely um all right so pop your questions into the chat um Kylie if you would be able to um to bring up any other demo screen if you've got questions and we'll start popping the questions up onto screen and then if you need to show us anything um let us know I'm GNA give my own question oh no no that feels selfish I w't I won't give my own question for I've got lots of questions for you you know I I am I am Mis question um so uh Stacy has got um a question for B2B if it's for a course how do you assign the course to individual employees of the business and track available quantities yes good question so it is I don't know if you've used our quantity offer uh just yet it is a bit of a manual process we've been doing some work in the back end to be able to get some other things that we're working on available I think maybe they'll be talked about later this week um but essentially to uh answer your question what you would probably need to do is work with this client so say they have like we were saying you're selling 50 seats for that B2B client um what you would probably have to do is get like a list from them of their email their first and last name and then upload it and then Grant access to that specific product or course that you're wanting to um give and then they'll have to get like the email the welcome email set up their login uh information Etc so it would really just be like partnering with that B2B client to make sure that they uh customers or whoever it is that will be like consuming your content have an understanding of what to expect when they are granted the offer as well yeah nice um all right um I I'll do mine and then de's got some great questions will the customer get a notification for void or uncollectible um if you do Mark your invoices that good question no they will not um I think we wanted to leave this up to our heroes if you wanted to let them know that you're doing one of the other you can like personally send them an email but no they will not be notified if you mark any of those even if you manually mark it as paid actually they will not be notified at this time either oh okay cool um all right dearra this is a this is a long one um will we event okay good dearra got the same question on my list will we eventually be able to add more than one offer to one um in voice and we let's start with that one first yes so good question this is something a very popular question that we've received uh something I want to call out before we dive into deeper into this question and the rest of them is that we're just getting started with invoicing we launch this and we understand that it's pretty basic as it is right now we wanted to make sure that it worked and we got it in the hands of our heroes and then wanted to be able to receive the feedback and prioritize based on like what people want so to get to the question yes that is something we are actively exploring right now and we understand that it's very very important for any kind of invoicing that you're doing to be able to add multiple offers so I don't have a timeline to share just yet but yes that is something that I am doing research on at the very moment okay fantastic and then um questions around the actual emails that are going out to the clients um will we be able to see interactions that the clients have with the invoice like if they've opened it if they've clicked on it um and can we preview that email um before it is being sent to the client good questions I have not actually heard about the client interactions but that makes a lot of sense so to answer the question for now you're not available to be able to see the client interactions with the invoice email um but that is definitely something that I'm going to mark down to consider because I think that that is important um to preview the email yeah so to preview the email also unfortunately now that's not something that you can do do but like uh Sue was saying I would highly recommend before you do your send your first invoice to a client that you go and create one and send one to yourself so you can see what the email looks like the template right now is the same across the board the only thing that will really change is obviously like your customer's name and email the amount of the invoice as well as whatever the offer is and the note that you add but the email template at the moment is will be repeatable across all invoices that are sent so once you see it once it'll be the same across the board for now okay well that takes me to my next question um will we be able to customize that email um in future and change that and maybe J it make it how we want Etc good question I don't have an exact answer to say like no I don't think we're gonna forever make it cannot edit it but I will say that it is something that we've thought about on are considering but there are a couple of things to be quite Frank that are on our list a little bit higher such as like those line items Etc or adding multiple offers excuse me same in my hand yeah eventually I think that is something that we would like to explore yeah fantastic um how does invoicing work with tax um if you are using um if you're sending out and you I'm assuming that you would have to have tax set up on the offer is it going to pick up that the client is in the correct jurisdiction and add that like because it's not able as far as I know it could just be because I haven't used it with an invoice with tax on it yet um but basically how does it work with tax yeah good question so essentially you can use it in the same way or use an invoice with tax in the same way that you would with any other checkout using kajabi payments so tax is available even when you are creating a brand new uh offer within the invoice creation flow you can set up your sales tax settings within there if you whether it's a good or a service Etc um and then if you want to get like more customized then obviously it'll be customizing it within the offer um but then yes on checkout it'll be the same way that sales tax for tax works with kajabi payments in the checkout today so it's based off of your clients I believe zip code and Country and so that will if you have registered for that jurisdiction or whatever jurisdictions that you're registered for it'll take that into account and determine whether it needs to charge tax or not and whether it'll be exclusive or exclusive depending on how you set it up okay so let's just say we have an offer and we an invoice we send out an invoice and turn the price into $100 if we had on that offer um tax to add tax set to add it it would then add that tax only if someone was in the jurisdiction yeah exactly automatically so even if we set it to 100 it would still show them 110 yes exactly oh okay I say 10 because I'm lucky we're in a 10% tax zone so it's very easy um but yeah so it will add but if you have the offer set up to be inclusive of tax it will just show the breakdown it will still show that it has like the tax breakdown but then of course it'll still end at a 100 okay unless you have it to add tax on exactly perfect okay I got I've got some curly questions for you kly I'm sorry that's just how I am so afterpay and cler let's just say you have afterpay and clner set up on your offer um and then you do an invoice that's then going to go over the limit for afterpay does that just like because you know normally let's say it's $300 but let's say it was um you know you're selling 10 seats so it took it to $3,000 which is over that afterpay limit what would happen would afterpay just disappear in that case like how how would that work yeah that's a good question so from the way that it should work is essentially that it should not show up on the offer if the offer exceeds the limit uh it just basically makes it so afterpay or Clara it it won't work anyway so it shouldn't show up on the offer but I don't know if I've tested that out myself so I probably should go in and see that but it's expected to not show that or show fantas CL yeah cool um I surely cannot be the only one with lots of questions so if you've got other questions please please fire them at Kylie um when will bank deposit be available good question so we do not have I don't have an exact time to share but I will say that the bank deposit is probably the highest point of feedback other than not having an offer attached to an invoice that we've received since we started testing invoicing um it is something that we are actively looking into I don't have anything like I said to share just yet Bank uh transfer gets a little complicated to be transparent as we have different like regions and countries that we have it available to it's a little bit different for each region so we're trying to find the best way to have a solution for everyone but yes long story short it is a priority and something that we are looking into but I don't have anything to share just yet okay no worries um this is another one I would just it's more a clarification you mentioned that it was 0.4% um in um of a charge is that in addition to the regular charges like will invoices basically have a higher fee than putting it through a checkout yes that is true so that is and it's the same way that uh it works if you're using strip for invoicing today but yes it is an addition to all of the transaction fees otherwise okay cool um and okay I think that was all my that was all my questions so if anyone else has any questions I I I will probably think of four more questions I think I've already given you all my questions k so I'm trying to think of what are the questions that I haven't already asked you and that would be really um really useful for for other people so um yeah if if anyone else answer your question H awesome um we do have something from Laura will it work for a subscription on multi-month payment or just for onetime payments good question so yes to call out right now invoicing is only available for one-time payments um subscription in multiple payments or multi-month payments is something that we want to get uh on board uh like I said we are just getting started with invoicing so this is something that is a priority for us but for the time being only one time good question okay cool um all right um next question from ER what use case was kajabi solving in creating invoice invoices um what were Heroes asking for that this addresses yeah I think uh the main thing that we like really were receiving is like people continuing to lean into like the all-in-one solution so we have lots of Heroes who use other invoicing tools and were sharing feedback that they didn't want to have to go back and forth and have payments accepting are accepting payments outside of kajabi and then have things come into kajabi as well and have their payments be all over the place so I would say that that was like the first and Main use case is we wanted to be able to bring in uh a solution for Heroes that they're able to use within kajabi and then also see like their revenue reporting in kajabi as well um and then in addition to being able to continue unlocking like Payment Solutions within kjab payments it's something that we're all super passionate about I don't know I think uh Ally last week talked about Creator Commerce which is our big Focus as we're moving into uh 2025 in the future is continuing to lean into Creator Commerce and having that all-in-one solution so I think it kind of perfectly ties in those two things I will never well not that I'll never forget because there were so many awesome things about kajabi sessions Australia but it was so like surprising to me um I think when you were presenting invoicing or Steph was presenting invoicing at the kajabi sessions event in Australia um I think it was Steph she asked a question how many people are currently creating invoices in canva or word docs or some kind of manual process I was stunned probably almost half the room put the hands off I was like really like you're not using like an actual accounting tool or anything so I mean if you have those systems set up through an accounting tool then you know maybe that makes sense but for a lot of people it's you don't want to have to have that entire system for the odd invoice and um you know like like you said having the reporting in one system especially for things like for those of us who like uh kajabi badges for our for our Revenue um but yeah um it was really surprising how many people were doing that is that something that you've had feedback on from other Heroes that's not just an Australian sessions thing that a lot of people are doing it that way yeah no exactly I think there was a reason why Steph asked that question because we were also genuinely surprised when we started uh exploring the concept of invoicing we did some surveys with a few of our heroes and I think it was around like 50% of people that were creating their like odd oneoff invoices in canva or word docs even um and yeah we were very surprised by that as well yeah um D just saying she was using two other systems one for
