hey everyone I'm Chase with the base camp team I'm here to show you a couple of different Advanced tips and tricks to help you get the most out of base camp so we're going to start on the project screen here and a lot of times you want to customize the way that it looks how it feels just to make things a little bit easier to get into so we've got three different options here the first one is a cards view that gives us all the projects in the card just like this the third one here is a list view it's all your projects alphabetically just like a list like you would print out and the middle one here gives us a mix of those too now one of the ways that I like to separate out the projects that I'm working on is by starring them so for instance if I'm working on this Newsroom project I'm just going to click the star and you can see it appears as a card project up here at the top we'll do a couple of other ones like this help page redesign one and then maybe these class questions right here so that'll bring these up to the top as cards if I want to remove any of them super simple we'll just unstar the project like that and we can always bring those back up if we want now these are always going to appear in the order that you star them in so if I star the class questions one before the help page redesign that's the order it's going to appear in up here at the top now if you're working with one client on several projects one handy dandy little tip is to group the projects using a common prefix so you can see we've got the Acme Corp here at the beginning of these projects we've used base camp the name of our product here at the front of these just to kind of group those together and make them a little bit easier to find so next tip I want to talk about is when you invite people to your account it's important to know which people and projects they'll be able to see so we've got a recently active people listed here at the top a couple of people to remember the account owner is going to be able to see every project and every person in the account and ours Marissa is the account owner here so she's able to see everything and everyone admin can see every user in their account but can only see project they've been invited to for instance Joan here is an admin so she'll be able to see everyone that is a part of the account but she can still only see the projects that she's part of like this ultimate league right here the customer ideas project that kind of thing non-admin users only see the projects they've been added to and they can only see people that they share a project with so let's invite someone to the account and chat a bit more about those base camp superpowers to add someone we're just going to click on the add person right here and we'll their name we've got a designer that we need to get added so we'll add her the next step is which projects they can have access to so on this one we're just going to add her to these two right here we'll add her to the general calendar and then here's those superpowers that we were talking about so the two big ones that anybody can have is the can create new projects which sounds exactly what the name says they'll be able to create new projects in your account they can also be an administrator if you allow them to be so admins are people that are able to create projects they can remove anyone from a project they can remove users from your base camp account and they can give that admin power to other people we definitely recommend only granting admin powers to people that you really trust with Gina here she doesn't need that admin St so we won't add that one the last one that we'll see is one that I'm not able to see since I'm not the account owner but it's called the billing Le on the billing leison can upgrade and downgrade your account plan they can update the credit card on file basically they're going to be able to handle that billing aspect of your account billing Leons do not automatically have admin Powers so you would be able to separate those out if you need we'll send this invite out and then she'll be added to that project now one handy tip with us everyone page notice that you're seeing a couple of email addresses pop up like this and then some of us have names if you're seeing a name like this like we're seeing with Marissa here that means she's already accepted the invite she's on the account already and able to log into base camp until Gina accepts her email invite she'll show us that email address right there so it's a handy way to see which people haven't accepted that invite yet if she didn't get the email you can always resend it by clicking this resend the email link here or just copy and paste this URL here and pass it over to her back on the everyone page we've got a section below the people that's called companies now companies and groups are ways that you'll be able to easily or organize everybody in your account we've got one company set up here called base camp and then a couple of different groups under that to create a new company we'll just click on make a company and we'll give it a name like that and then we'll just start adding some people to it so for instance in this one maybe Joan is part of this company Emily's part of this company and then an like that after we get them added we'll create the company and they're right there now if say for instance there was a HR Group inside that company we'll put HR and we'll add Emily and Joan to that since they're part of the HR company for Acme Corp now you're probably asking yourself where do these come in handy there's going to be a couple of different places whenever you add a new project you'll be able to easily add them as part of your team or the client without having to type out each individual name so for this one we'll say that we're working on a website design and that we're working with them so I'm just typing AC me and then that autofills like that and we can start the project now the other big places this comes in handy is when you are sending out email notifications so we'll start the first discussion here we'll put a kickoff message up and notice down here I've got this option to choose which people should get an email when I click on that I can choose that Acme cor company over on the right right to automatically add those three people that we added to it or I can just pick that HR Group and have only Joan and Emily received those email notifications and that's how you can make the most out the companies and groups so let's take a peek at the project page and I'll show you some tips to best organize your to-dos we're just going to go into this support help page redesign project that we've got here now to-dos can simply be dragged in any order that you want you've probably already figured that out when you were using base camp but one of the handy things that we do is drag the most important ones to the top so if I think this live classes needs to be done first it has the most priority for something I'm going to just drag and drop that to the top of the list here now one thing you can also do to kind of give it a visual kick is use something called Emoji head over to Emoji hyen sheet hyphen sheet.com and this is going to show you all the different emojis that base camp can use now when it comes to priorities one of the easy things to do is use the symbol section down here these numbers 1 through five to kind of indicate which ones have different priorities so I'm going to grab grab this symbol for the Emoji one and I'm going to edit this to do right here paste that in and that changes just like that now if these more videos are maybe more of a level three priority we can do three there and the base camp case study we'll say that's a level three as well when the to-do atem has a few little tasks that need to be completed in order to check it off you could always leave those as a comment on the original to-do so for instance with these live classes here some of the things that Kristen's going to need to do is draft up some scripts record the trial run and then set up the class Registration site we'll add that comment there and then Kristen can go through those manyi to-dos whenever she is getting ready to tackle this live classes to do now the cool thing with Emoji is that base camp supports it anywhere so if you just want to give somebody a thumbs up maybe say that you know you understand um what they were talking about or anything like that we'll go here and we'll say something like plus one for the thumbs up emoji we'll say thanks Gina and add the comment like that notice that thumbs up emoji appears inside of the comment so anywhere you can type text you'll be able to add those emojis inside base camp so here's something a little fun how about some keyboard shortcuts there are a few key board shortcuts to help you navigate through the different areas of base camp and by areas that's these areas up here the projects the calendar everything so on and so forth so we're going to hit the letter G and the number one that takes us to the project page just like this G2 takes us to the calendar G3 takes us to everything G4 is the progress page G5 is everyone and then G6 you guessed it takes me over to my Mi page now if I want to get over to this jump area this jump or search or whatever then you can use the keyboard shortcut GF it puts you right there so I could start typing in Marissa's name and go to her page without ever having to actually use my mouse for any of that another thing that's really handy if you're on a long page like this if you want to get to the very bottom of it we're going to double click down here in the beige area and that takes us to the bottom of any page inside base camp so we could immediately get to see those files that Marissa shared when I see the file that I need I can always double click in the top corner to get back to the top and this is going to work in all four corners so we'll double click down here in the right side and then we can do that again in the upper right side as well pretty cool right the next tip I'm going to touch on is how to take your base camp calendar and bring them over into some of the other calendar apps that you're using so on the calendar page we're going to click subscribe to iow in the lower left corner here that's going to give us a list of all of the I calendar feeds That Base Camp offers we've got an all calendar subscription link here at the top and then individual subscription links down below that now if you're using a desktop program something like like Microsoft Outlook Apple calendar anything like that you'll left click that subscription link and it'll prompt you to subscribe to it just like that super easy when you're adding it to your desktop calendar program notice all those appear right there and you're good to go now if you're using something like an internet calendar what you'll do is you'll right click that subscription link choose copy link right there your browser might say copy link address or copy Target address you're looking for that copy address then head over to Google Calendar and give this down there little click and then choose add by URL you'll paste that address in like that click add calendar and then Google will add that to your calendar just like this it would be helpful to point out that with Google Calendar it can sometimes take up to two hours to sync that's something that Google hardcoded in with their I calendar feeds so if you haven't noticed that event pull over inside of two hours then you would want to get in touch with us using the handy dandy little help link over here on the left now one of the thing things I love about base camp is that it's always saving me time if I'm doing the same project over and over then I can use these templates to save me a lot of time in the long run we're going to click on the templates link here on the left and we've got a couple of different ones set up like this new client this new hire project we're going to take a peek in this new client setup so you can kind of see what it looks like notice that everything looks pretty much just like a regular project we've got our discussions here at the top our to-do list that emoji that we talked about earlier files text documents it's all there the only difference is going to be two things the first is that there's this grid background behind it that's to let you know that you're working on the template rather than working on an active project the other difference is how you do dates inside of this template since the template's going to be used throughout the year we use a week system to let base camp know which days those should be put on so week one here is always going to be the week that you start the project so this would be due week one Friday we've got week two Friday due for this one and you can move that out however many weeks that you need so let's look at what this actually looks like when you start an active project from it we'll click on the template and choose start a new project with it this will take it to what's called a draft State first this lets me make any changes to it like this client setup here maybe we're working on Acme corpse summer campaign I need to add a few people to this before we actually launch it so we need to make sure all of the Acme company that we had earlier is on it we'll add them to the project like that I can also remove toos or edit to-dos if I need now notice that these dates have fallen in line like we talked about so week one is going to be this week that we started this project so it's going to be due April 4th and then this one here April 11th and like I mentioned if we need to delete one we can trash that to do just like that once I get the project set like I want we click publish this project project it becomes active everyone has been notified about what they need to do and that there's a new project that they need to get started on the last thing that I want to show you with base camp is all the other apps and Integrations that work with it so head over to basecamp.com extras to see all of those these are going to be all of the third party Integrations apps add-ons basically all those great tools outside of base camp that work with it if you're looking for like mobile and desktop apps we've got this option here at the top we've got two official ones from us this base camp for iOS and base camp for Android perfect ways for keeping up with Bas camp on the go while you're commuting into work that kind of thing there's also all these other wonderful apps from third parties as well for time tracking invoicing accounting those kind of things we have this section here and if you're wanting to run like customized reports with your base camp data we have a full section devoted to the reporting charts and planning as well so those are all the great ones that work with base camp the very last thing that I'll point on is that if you ever get stuck if you got a
