Windows Backup Guide

Overview

Windows Backup is a built-in Windows 10/11 feature designed to help users easily back up important files, settings, and certain app data to a Microsoft account and OneDrive, allowing for simplified restoration and device migration.

Setting Up Windows Backup

  • Sign in to Windows with a personal Microsoft account to enable Windows Backup features.
  • Windows Backup does not support work or school Microsoft accounts.
  • Launch Windows Backup from the Start menu or Settings app under Accounts > Windows backup.
  • Select folders (Desktop, Documents, Pictures, Videos, Music) to back up to OneDrive by toggling desired folders on.
  • Back up Windows settings such as installed apps, personalization, accessibility, language, and Wi-Fi profiles.
  • View current backup status within the app or Settings.

Modifying Backup Configuration

  • Adjust which folders are backed up to OneDrive by managing sync settings.
  • Toggle specific settings and app backup preferences within the Windows Backup settings.
  • Work/school accounts have limited backup options (e.g., cannot remember apps).
  • Delete previously backed-up data via the Microsoft Account Devices page under Cloud synced settings.

Restoring a Backup

  • On a new or reset PC, sign in with the same Microsoft account to restore the backup.
  • Choose which backup to restore if multiple devices are found.
  • Apps pinned on the desktop and settings are restored; Store apps can be reinstalled by clicking pins, others direct to download links.
  • Files can be restored anytime from OneDrive.

Additional Notes

  • Sync Microsoft Edge favorites and settings separately by turning on sync in Edge.
  • Windows 10 support ends on October 14, 2025; upgrading to Windows 11 is recommended.
  • To stop or delete backups, update settings or clear data in the Microsoft account online.

Recommendations / Advice

  • Use a personal Microsoft account (not work/school) for full Windows Backup functionality.
  • Regularly check your backup status to ensure files and settings are protected.
  • Plan to upgrade from Windows 10 before October 2025 to continue receiving updates and support.
