all right everybody hello welcome to the advising Workshop the first one for the semester I am miss one of the academic advisers and we're going to get started on our Workshop as you all um Gather in and sit down and get comfortable make sure you have something to write with so that you you're able to take notes accordingly all right so today's Workshop is entitled understanding your transcript and summmer school so let's dive on in let's start with understanding your transcript so first your transcript is loaded in your portal so you will go to my portal and then click Banner Web once you're in Banner Web you will click records and registration and then click unofficial transcript that will bring up your transcript so we're going to go step by step through the different pieces of your transcript so that you understand what you are looking at so the first thing that you'll see when you look at your transcript you'll see your name at the very top and then you'll see your program information so you will see which degree you are obtaining whether it's a Bachelor's of Arts or a Bachelor's of science you will see your program noted in this case it's biology the college that it falls under or this case it's natural sciences and then your major and the department so the major is biology and the department is biology once you graduate the rest of the information will also populate so once you graduate under degrees awarded it'll say the degree that you earned and right now it says that you all don't have a degree date because your degree is in progress since you are now enrolled in school but once you graduate this area will populate to the actual graduation date and then your degree details will show at the bottom As you move on a little bit further down your transcript you will see an are for transcript transfer credits if you have transferred in some credits so if you didn't transfer in any credits this won't apply to you but if you did you will see this area on your transcript so in this area you will see the credits that you transferred in and from which institution one way to note clearly if you transferred in credits is to see the grade so if you transfer in credits you will see the notation under this area but you will also see for the grade part you will see a t in front of the grade earned so for example for that bio 1011 that came in general biology T stands for transfer so you transferred in those credits and then the B is the grade that you actually earned as you can see there are no quality points associated with transfer credits because we do not accept the grade per se as far as it factoring into your GPA but we do accept the credit so as you can see the credits earn populated down here here as you continue down your transcript you'll get to see your classes per semester okay so once you enroll in courses they will populate and you won't see your grade but then after the semester is over you will see a grade so if you look at your fall semester you will see that you will have your classes in your grades posted so you will see for example if we look at uh the last row for sociology 101 you'll see that this person earned a be minus in that particular course if you look at your spring semester you will see only the classes that you are rolled in and the grade column is not there so you see that it's here for the fall semester but on the spurring semester there are no grades populated grades populate at the end of each semester so as you progress through this semester you won't see any grades populate for spring but once the semester is over and grades are posted your final grades will post here all right let's talk about calculating your GPA so at the very top of the screen right here you will see the GPA um point system that is awarded per grade earned and so though the computer does this automatically if you are interested in how it is calculated want to take a moment to show you so here are your grades so you can only calculate your GPA based on grades that have already been inputed into the system so remember they're inputed at the end of every single semester so you can go to any semester of your choice to calculate your current GPA for that particular term all right so if we look at uh biology the general biology course that first course this individual earned a B minus so A B minus translates to 2.7 and so you will take that 2.7 and you will multiply it by the credit hours for the course so in this case it's four credit hours so it'll be 2.7 * 4 equals your quality points for that class so you'll get 10.8 zero and so you would do that for every single course and then it will populate the the quality points once the quality points are populated and calculated then you want to add up all of the quality points in this case once we add them all up the total becomes 32.9 so that 32.9 is then divided by your GPA hours which is the number of credit hours that you have um attempted so from this column it'll be 14 so 32.9 divided by 14 will give you your GPA for that semester which is a 2.35 in this case so you can do this every single semester if you wanted to double check the system for accuracy you can determine what your GPA for that particular semester is all right so let's talk about incompletes vers repeating of course excuse me the eye that you would see on your transcript if this applies to you is because you have um discussed and have been approved by your professor to take an incomplete in a particular course so at the end of the semester when grades are due your professor and you have already discussed it incomplete so they will enter an eye on your transcript for your grade in that particular course that i signifies that that class is incomplete and you are working on completing that information for that class and those assignments once your assignments are graded and youve fulfilled all the requirements for that particular class by the deadline established by the professor then that Professor will then submit a grade update to records to whatever grade that you earned so for this case this individual took an incomplete for the history class and then he completed the work and then he ended up earning a b in that course so the B is entered next to that I that I in the grade remains it just indicates to anyone that reads your transcript that you took in complete in that class which means you did not complete the work by the end of the semester and you were granted permission to complete it at a later time and then the grade earned is sitting next to that I okay so that b is what's going into your GPA when it comes to incomplete now let's talk about include and exclude there is another IE that shows up on transcript sometimes as well so let's start um def defining what those two that other eye is the eye that you see on the far right hand column of the screen under the r indicates that this grade will be included inside of your GPA if you see an e that means that this grade is excluded okay so every time you retake a course you are able to improve your GPA or decrease your GPA depending on how well you perform so if you took English 101 last semester and you earned a c minus you have to retake that course because you need a c to graduate in that particular course so you enrolled in that course again this semester and you earned a B+ that c minus is now excluded from your GPA so you will see an e next to it and then that B+ that you earned this semester will have an i next to it next to it which means include that grade into your GPA when you retake a course we take the most recent grade so you want to keep in mind when you are retaking courses that you are striving to do better than what you did the previous semester okay so if for example you are trying to get the best GPA possible when you see that you have a B+ in one of your classes and you're trying to go to medical school or law school so you want to improve your GPA you decide that you want to retake that course that you earned a B+ in you can do so but if you were then to retake that course and earn a c minus in that course that c minus now is included in your GPA and that B+ is excluded in your GPA so be mindful that when you are taking or retaking a course rather when you're retaking a course that you are paying attention and making sure you are striving to succeed better than what you did this semester before so if we look at this example you'll see that African-American experience FYE that first live this individual failed the course and then that following semester he retook that course so what you see on the screen is um that that e next to next I'm sorry that e on that far right hand column means that this F is excluded from his GPA because in a future semester probably that next fall he retook that course so that F came out of his GPA and then the grade that he earned that next semester went into his GPA to satisfy the requirement for African-American experience so that e on the far right hand side means that that grade of f is excluded from his GPA if we look a little bit down further you'll see that um College algebra one with online well online lab has an I on the far right hand column that means that this student took college algebra 1 with online lab previously so before spring 2023 probably failed it or got a D minus or a c minus in that course retook the course in the spring of 20123 and earned a SE so this course and the grade earned the SE is included in his GPA in the course the grade that he earned in previous semesters for college algebra 1 with online lab was excluded okay so this C is included in his GPA all in all you just want to make sure if you are retaking a course that you are striving to get the best grade possible better than what you did previously all right official transcript so you're at a point where you need to request an official transcript whether it's because you're going to grad school Medical School law school you need scholarships you need to send it to a job whatever the case may be you can always request your official transcripts online so you will go to the record's website and then go to the area that says official transcript request you'll click it and you will follow the directions official transcripts are processed through the national student Clearing House online okay so you can't go to records and say hey can you all print me out a transcript the answer will be to go to the national student Clearing House website to request that transcript transcripts the most quickest way to get a transcript is doing the transcript and requesting the E transcript but if for whatever reason you need that transcript mailed in Just note that it will take longer but it can be mail but the quickest way to get those transcripts to where you need them to go is from doing and requesting it electronically there are fees associated with your transcripts okay so every transcript that you request is $10 a copy and then depending on how you want that transcript we'll determine the processing fee so if you want it in the mail it'll cost you two $2.50 and if you want an electronic version $3.50 keep in mind the electronic version will get to you a lot quicker than the mailed in version you can request your trans cript at any point in time during the semester but if you are looking to uh have your transcript sit after a particular semester when grades are posted you want to wait till the end of the semester to request that transcript if you have a financial hold on your account you cannot get your transcripts so before you order transcripts and waste money make sure you are aware of if you have a financial hold or not if you don't have a hold go ahead and request your transcripts if you do have a hold you will need to take care of that hold before the transcript is released okay so save yourself a little money if this case applies to you and clear that Financial hold so then you can then go ahead and order your transcripts without any delay you can also download your unofficial transcripts so the transcripts that we just talked about where I went through and showed you in Banner Web you can download your unofficial transcript on your own you just uh right click click print and then click save as a PDF instead of printing it out and then you can use your unofficial transcript as you see fit or as needed according to whatever directions you have but if you need the official one you will always order it from the national student Clearance House Clearing House it does not come from gler Hall it does not come from your advisors you have to request request it through the official um website all right let's switch gears and talk about summer school again I hope you all are taking notes you are uh responsible for all information that we discuss during the advising Wednesday's workshops and then um you will also have an assessment at the end of the workshop so make sure you all are taking some notes so let's talk about summer school this is important as you prepare for your one-onone advising sessions later on after spring break so this is how you prepared to discuss summer school with your advisor so you have two options the first option is doing summer school at Morehouse summer school at Morehouse will be June 2nd through July 11th so a little bit over a month classes are accelerated so if you are doing summer school be prepared to work hard during that period of time without having any absences or any excuses because the classes will move rather quickly okay if you're doing summer school at more house I want you to keep in mind that all courses are 100% online and you will earn both the grade and the credit for taking those classes so if you um are looking to boost your GPA this is a perfect way to do so this is the only way you can do so in the summer you will take your courses at Morehouse if you're looking to satisfy some of those requirements that you weren't able to get into this school year you can definitely use summer school to do so you will register for summer school at the same time that you register for fall courses but you will just switch the term in Banner with before you register okay so fall and summer courses will open up at the very at the exact same time just make sure you're switching terms if you're intending to take certain courses during summer school registration opens up on during your registration week for summer so at during your registration week you can go in Click summer register for class then go back in Click fall register for fall classes registration for summer closes at 11:59 p.m Eastern Standard Time on May 20th payment deadline is that next day on May 21st so we are all aware of how payment deadlines work and if you don't make that deadline your schedule is dropped so in order to avoid this you want to go ahead and register for classes for summer during your prior your priority Reg ation week so that your bill will populate and then so that you can then make arrangements to pay your bill before May 21st okay after May 21st your schedule is going to be dropped rather quickly so you want to make sure you get your payment situated prior to May 21st so payment situated May mean financial aid it may mean that you're paying out of pocket it may mean that you're on a payment plan whatever the case may be you want to make sure you have completed your financial obligations for summer 2025 if that's the term that you want to register for prior to May 20 first so let's talk about tuition for summer school summer school tuition is is $611 per credit you are allowed to take up to 19 credits you cannot take 12 you can't take 15 you cannot take 18 18 credits in the summer your maximum load for summer is nine credits so ideally that's three credit hour three three credit hour courses okay you can take as little as one I guess if you want to take online bonus and that would be your only class uh but we recommend that you take either six six credits or nine so anywhere between there is what we recommend there is a mandatory student fee of $258 and then you also have St your health insurance for $712 again summer school is 100% online so you will not be staying on campus you'll either do your summer classes from home at a vacation rental overseas in a different country wherever the case may be on the boat because you're on a cruise as long as you have access to the internet and you have your computer or laptop iPad available you're good to go to take your classes as you see fit keep in mind if you register for anything less than six credits you are considered part-time and your financial aid will not be available able okay so if you do five credits or lower expect to pay out of pocket no financial aid available if you would like to use financial aid you must register for six credit hours the maximum modow will be nine credit hours okay and then that way your financial aid will pay out accordingly so if you were to take three credits your out of pocket expense will be $2,091 if you take six credit hours which rounds out to two courses you'll pay $3,924 and then if you do the max load of nine credit hours your total that you're looking at is $575 for Summer Okay so again if you're doing summer school you are going to register at the same time you register for fall courses during your priority registration week you will then make arrangements to make sure that your payments are paid in full or you have some type of payment arrangement established before May 21st okay so that your schedule is not dropped all right moving on to summer school off campus so say oh I don't want to do summer school at more house I want to take classes at an institution close to home because I want to go in person or I found it cheaper elsewhere you can definitely do so but here is the difference the difference between doing it off- campus versus at house and doing online at warhouse in the summer is that you can only you can take as many classes as you want to but we only accept the credits okay so you have to earn a seat or better in those classes your grade does not come with you so that means your GPA does not move but your credit hours earned will increase as long as you earn a c or better in the course so like I said it does not boost the GPA so if you're looking to boost your GPA you need to take courses in the summer at Morehouse okay if you're looking to retake a course say you failed a course and you need to retake that course meaning you need to get that F out of your GPA doing summer school off campus won't take that F out of your GPA you want to do summmer school at morehous but if you're taking brand new fresh courses you've never taking them at more house and you want to knock out some credits feel free to do so off campus in the summer you can take any of your general education courses off campus a lot of students will finish up their math off campus start their foreign language off campus uh knock out those science courses off campus they can do any of those General Ed courses off campus we accept C or better in those classes and your GPA will not move but your credit hours will increase credit hours earned will increase you can take elective courses which is any course that your heart desire and then at some sometime times with approval you can also take some major courses generally we don't do major courses but it's kind of up to the department chair to approve it or not so if you would like to take one of your major courses off campus and it's approved by your department chair then you're free you're you're able to do so without any issues but the difference with um morehous summer school and then off campus summer schools that you need approval prior to enrolling in these courses off campus okay so you're going to do a little work you have to do a little research and determine what courses you're taking and what courses um are accepted at morehous you'll get some signatures from Department chairs and then your major department chair to signify that we are in agreement that you're taking these courses and that we're going to accept those credits back into morous so in order to find the off-campus approval information you're going to look inside of the advising one-on-one course and Blackboard you're going to go under course content and then click the folder that says off- campus approval inside of this folder you'll have the off-campus approval form as well as the department chair directory so on this screen you're going to see blank a blank version of the off-campus approval form and then you'll have to the right of the screen a piece of the um department chair directory so these are the two forms that are inside of that folder and so let's talk about how to actually go through the off- campus approval form so that you can submit it so the first thing you're going to do is Click summer because you're doing this in the summer and then you're going to select 2025 because it will be term the term will be summer 2025 you'll put in your M number your full name a working telephone number to reach you at your Morehouse email and then also your major furthermore you will you will select your classification when whether you're a sophomore freshman Junior I don't think we have any seniors you all won't click transfer at all because you are currently enrolled at Morehouse so no one should be clicking transfer it should be one of the four other classifications okay okay so now you are ready to fill out the rest of the form which will indicate the classes that you are taking so say you're going to take courses at your local community college in this first column on the first row you will write the name of that institution there the second column first row you will enter in the course that you are taking at that institution okay and then you will put the credit hours in the third column and then in the fourth column you will put the course that is um sorry the course that it counts for at Morehouse the one that you would like it to count for at Morehouse and then you will get the signature of the department chair of that particular course so for for example you want to take um let's see you want to take African you want to take African-American experience at a a different Institution for whatever reason and so say you are going to Prince George County Community College up in Maryland so you're going to put Prince George County Community College here and then the second column you're going to put their course for African-American experience so let's just say it's called African-American experience Varan you're going to write that in the Block in the in that row and then you're going to put that the credit hours so say this course is three credits you'll put three the course that you would like it to transfer over as that will count at Morehouse is African-American experience at Morehouse so you would write HFR 100 and then you need this signature of the department chair for afriana studies so if we look to the right you will see the first line afri of studies is the department and then if you keep going you will see to the very far right the department chair's name so Dr Hamilton so then you will email this form to Dr Hamilton to request his signature you will either say yes and sign it or respond back to you and deny it and give you a reason why this course does not satisfy the requirements to gain credits for African-American experience at morouse okay so you will do that for every single course that you're going to take at another institution once you have completed the form and it's been filled out with all the courses that you need to take you will then hold on to the form so then you will um proceed to then email your major department chair for their signature okay so in this example I filled out the top none of this is real so uh don't try to use any of this information because it's not real but the demographic information is already filled out in this example taking classes at kayoga Community College which is in Cleveland Ohio the class over at that institution is called MTH 250 and it statistics all right that class is worth three credits this individual wants to take this class to satisfy the math requirement for graduation and so they want this class to transfer in as basic statistics at morouse so hmth1 130g they then got the signature of Dr Clark which is the Department of math and he signed accordingly please note this is not his signature this is scribble scribble that I put on this form to show you all show you all as an example okay so this is the only class this individual has taken so then once Dr Clark signed the form this form is then emailed over to the department chair in this in this example this this student is a communication studies major and so studies is spelled wrong but make sure you all are spelling everything correctly but communication studies major um department chair is Dr Felicia Stewart so this form is then emailed over to Dr Stewart for her signature this is not Dr Stewart's signature again this is scribble Scrabble just to show you what a completed form looks like that department chair will make sure that you're in good academic standing they will make sure um that they click this to make sure that it is signed and then they will date the form so once this form is completed you hold on to it this is your agreement that you are going to take this class you're going to earn a c or better in this class and it's going to come back over as credit for math 130g which satisfies one their math requirement for graduation once you have completed the course you are going to request that that transcript from institution is sent directly to records morehouse.edu it's best that you have that submitted electronically please don't send them through mail because it takes long they may get lost so make sure they you are using the electronic system to have it sent over to Morehouse morouse will then hold on to your transcript until they get your off-campus approval form you can email this over to records or you can walk this over to records when you return in the fall the choice is yours once they have the form and you pay the fee associated with the form which I believe is $35 for processing they will then process the transcript that they have okay so you cannot your that transcript from the other institution will not be processed until you have submitted not only the transfer but also the off- campus approval form and the fee associated with it okay so don't forget to submit that form now if you have multiple classes on the form you may end up with multiple forms with multiple signatures okay so um if you were to write say you were taking three classes and you wrote all three classes on the form and you submit this blank form to all three Department chairs signatures that you need they may send you back three different forms right because you're sending it to three different people so that means that your major department chair will need to sign all three forms and you will submit all three forms over to records for processing but it's only one processing fee okay so if you're doing summer school you can start looking at summer at the courses at the other institutions after spring break most schools don't have this information available at the present moment so look after spring break and you'll be able to see what other institutions are offering you can begin to do your research to determine which classes that you want to take in preparation of your advising session with your advisor so that they can then he or she can talk to you about those courses make sure it makes sense and then guide you through the rest of the process if you need help but you all need to start doing the leg work on your own and start searching for courses if it applies to you all right so that wraps up the topics for today's session but I want to remind you all that that we have two more sessions one will be in March and one will be in April so our next session is the week of March 3rd so right before spring break which is where we'll talk about starfish and scheduling your one-on-one advising appointments to prepare you for your priority registration week okay so here is our contact information that you are all aware of already but I also wanted to note that all newsletters are available for you to look at February's
