In this video, we're going to look at how we can manage our contacts on the iPhone. We can basically do this through two different apps. We can use the phone app or we can use the contacts app. Either one of these apps will allow us to manage our contacts. We can add contacts. We can create lists for our contacts. But what the phone app has in addition to contacts is we can also favor contacts and of course make phone calls. Now if you find this video helpful, stick around to the end. I'll tell you a little bit more about myself and how you can help support my efforts in creating these videos. All right, let's take a look at how we manage our contacts on the iPhone. Let's go over to my iPhone. All right, let's first take a look at the difference between the phone app and the contacts app. When we look at my phone here, you're going to see that I have a contacts app. When I tap on that, I'm able to view all of my contacts. I can view all of the lists for my contacts. And then when I look at a contact, I can view all of the details. I can go and edit the contact by tapping on edit. Well, when we go over to our phone app here, you're going to see I have the same features. I tap on it and then you're going to see I have all of my contacts. I have my lists and I can put all my contacts into lists. And then when I tap on a contact, I can view all of those details of that contact and I can edit the contact. So what is the difference between the phone app and the contacts app? Well, in addition to being able to manage our contacts, the phone app, which is what I'm in right now, also has a tab bar down here at the bottom. And with the tab bar, what we have are favorites. This is where we can favorite contacts. I also can view recent activity, phone call activity, basically. I have a keypad where I can dial in a number, tap in a number. You can tell my age there by saying dial. And then I also have access to my voicemail. So in addition to managing my contacts with the contacts app, the phone app gives me a few more features. Now primarily what I'm going to do is I'm going to show you how to manage your contacts through the phone app. That's primarily how I do it, but just know that you can easily go over to your contacts app as well. All right, so now let's take a closer look at these contacts. I'm going to go back over to my phone app, tap on it. And then we have to make sure that we're looking at our contacts here. When we're looking at our contacts here, this is where we can go and manage all of our contacts. All right, so what am I looking at here? Well, let's go back to our contacts and I'm going to go back one more. So I'm going to go over here to our lists. We'll talk about lists in a little bit, but I first want to talk about accounts. So I tap on lists and what you're going to see here is I have all iCloud and actually this is in my iCloud account. So all of my contacts are in my iCloud account. What does that mean? Well, basically what we can do is we can have multiple accounts. If I have Gmail, if I have a Gmail address, Gmail can manage my contacts as well. So then what I would do is I would have Gmail down here. If I have Yahoo, Yahoo can manage my contacts as well. So then if I had Yahoo on here, I'd see Yahoo. So where do we set up these different accounts? Well, basically that's all in the settings app. So I'm going to swipe up and then we're going to go here to settings. Now I am using iOS 18, so what I need to do is I need to go down to the very bottom and then you're going to see apps. I tap on apps and I can view all the settings for my specific apps. In this case here, we're going to go to contacts and then you're going to see accounts. This is where I can go and manage those accounts. So I tap on it and if we look, you're going to see, I have two accounts here, iCloud and Gmail. But if we look, you're going to see that Gmail just says mail. I can only access my mail. I can't have it access my contacts. I can't manage my contacts within Gmail. That's because I have it turned off. I only like to have my personal preferences to have one account for all my contacts, but you could add more accounts. To do that, I'm going to tap on this. To do that, what I would do is I would just tap on contacts here, turn it on, and now what I'm able to do, in addition to having iCloud manage my contacts, Gmail can too. So when we go back over to my phone app or the contacts app, you're going to see I have Gmail here and I don't have any contacts in there. All of my contacts are in iCloud here. But I could just tap on this and then just go and add more contacts. Now the problem with this is this can lead to duplicates. What I mean by that, or a little confusion I should say, you could have a contact in Gmail and the same contact in iCloud. So which one do you use? Which one is going to be correct? Maybe they move. Well, you have to go and update the address in both of them. So generally speaking, what I like to do is I like to use one account, and in my case, I use iCloud. So now what I'm going to do is I'm going to go back over to my settings and I'm going to turn off Gmail accounts. So it's going to delete it from my iPhone. It's not going to delete them from Gmail. If I had contacts in Gmail, it wouldn't delete them from there. It just deletes them from the iPhone. And now I only have one account that is set up to manage my contacts. So when we go back over to the phone app or the contacts app, you're going to see I just have my iCloud here. So we can have more than one account for managing our contacts. All right. So that's how we work with accounts. Now let's take a look at our contacts a little bit more in detail. What I'm going to do is I'm just going to tap on all iCloud so I can see all of my contacts. We'll get back to lists shortly. So right now I'm looking at all of my contacts. First thing is, is we have search up at the top. So I can search my contacts. I can go and add a new contact by tapping on the plus. When I do that, I just go and type in the name and any information in there, the phone number, the address, email address, things like that. I also can do a duplicate search. When I do a duplicate search, what it'll do is it'll show me all of the duplicates. And then from here, I can go and merge them. It's going to merge the data from those duplicates. If I want to view what that data is individually, I can do that as well. I tap on the individual name here and now I can see what the difference is or I can actually see what the merge contact information is going to be. If I like that, I just tap on merge here and it'll merge that one contact. So you can merge them all or what you can do is you can do this individually if you'd rather just babysit a little bit. So that's how we can find our duplicates. Now below that, we have all of our contacts. So I just swipe up and I can view all the contacts. We do have a little letter board here that gives you a shortcut to view your contacts. When we're looking at our contacts, what you're going to see is, let's go back to the beginning here, you're going to see that one of the names is bold. The first name is bold. That's because that is how it is being sorted. I like to have it sorted by first name. Also you'll notice that it does display it as first name and then last name. Again, that is how I like to have it set, first name and the last name. We can change how that is sorted as well as how that is displayed. What we need to do is we need to go back over to our settings. So what I'm going to do is just swipe up here a little bit and we're going to go back over to our settings. I'm looking at my contacts settings here. This is where we set up our account. Well if we swipe up, what you're going to see here is two different options, sort order and display order. What I'm able to do is change the sort order. So then it's going to be sorted by last name first. Let's go ahead and take a look at our contacts and now you're going to see that it is sorted by last name first and the last name is bold. That's because that's how it's being sorted. But it is still displaying the first name first. It's getting a little confusing here, but I think you'll see what I mean. Let's go back over to my settings here and what I'm able to do is set the display order and you can see it's set to first last. So now when I look at this, what it's going to do is it's going to display the last name first. So in my case, it'd be Wasink Dan and what it's going to do is it's going to sort them by last name. So when I go back to my contacts, it is now sorting them by the last name and it is also displaying them last name first. So if I go to Wasink here, you're going to see that that is how it is all set. Again, my preference is to have it sort by first name and then also display the first name. So I'm going to go back to my settings here and change these two here. So I tap on it, go first name last, and we're going to display the first name and then the last name. And now when we go back over here, we can see it is sorted by first name and it is displaying the first name. That's how we can change our sort order and display order. Now since we're talking about our settings, let's take a look at one other setting that I like to talk about. So I'm going to go back to my settings. I'm looking at my contact settings. There's going to be one setting here that says share name and photo. What this is going to do is this is going to share your name and photo with your other contacts. When I tap on this, what you're able to do is set what your name and photo is. I tap on edit there and I can set my name and photo. So right now what this is going to do is this is going to share automatically my name and photo to my contacts and only my contacts. When I tap on this, what I'm also able to do is set it to always ask. So then it will not automatically share. It'll always ask. I'm going to leave it at contacts only. So then it shares it with our contacts. And again, this is also where you can set what they see. You can take a photo and change your name. So that's how we can set what they see in their contacts. All right. So let's go back over to my phone app or my contacts app, whichever you prefer. So I'm looking at my list here and we have this alphabetical list here. This allows me to tap on a letter and it'll take me to all of the contacts with that letter. So it's like a shortcut. If you have a lot of contacts, that can be an easy way to go to your contacts. And of course you can always search. Search for a contact up there. Let's look at our contacts in detail. So now what I'm going to do is I'm going to tap on Beth here. So I'm looking at this contact here. First of all, what we're able to do is make any phone calls, text a message, send an email just by tapping on these buttons here. Now you're going to see that these buttons are grayed out. Why is that? Well, that's because I don't have any information in this contact. It can't make a phone call because I don't have a phone number in there. I don't have an email address in there, so I can't send an email. So that's why those buttons are grayed out. But if I go to another one, let's just go to Abigail here. And you're going to see that some of these here I'm able to tap on. That's because I have an email address. So depending on what information you have down here, these buttons are going to be grayed out or they're going to be available to you to use. I swipe up and I can view all of the information. If I were to tap on this, it would open up the contact in the Maps app. I can go and add notes. I can also send a message, share this contact with someone, and I can add it to my Favorites. Remember how I mentioned on the phone app we have Favorites down here? Well, this is where I can go and add them to my Favorites. So if this is someone that I frequently call or text, I can go and add them to that Favorites just by tapping on that. And then we also have Block Caller. This is how you can block them from calling you. And I can see what lists they're included in. Talk about lists shortly. If I want to add them to another list or add a list, I can also do that. So that's how we can view that information there. Let's take a look at how we can edit this information. To edit it, what we do is we tap on Edit. And then from here, I just go and type in the information that I want to include or delete the information. If I want to remove something, I can remove that email address. I can go and add another email address. I can change the ringtone for when this person calls. And I can go and add an address in here. I can also add their birthday, and this will show up in the Calendar app. And then if I want to add notes, I can go and add notes. If you want to customize it, go a little bit further, maybe you're not seeing the field that you want to add, you can also go and add a new field here. And then if you want to delete a contact, you can tap on Delete. And you're editing that contact. You can also delete a contact. We're done with editing our contact. So I'm just going to go back, tap on the little arrow here. And now I'm back at my list. I can also long press on it. And then from here, I can delete that contact. It doesn't create a new contact. What it does is it allows you to select a contact to add to your list. I'm going to tap on Done. And we're back at my Christmas list here. To add a new list, what we do is we look at all of our lists here. And when we're looking at all of them, now I'm able to add a list. I just tap on it. I type in what it's going to be. So we're going to go with Disney. Maybe this is a list for people that I'm going to Disney with. Tap on Done. And now I have Disney here, and I don't have any contacts. I want to add a new contact to it. Tap on Disney. And I tap on Add Contacts. And from there, what I'm able to do is select those contacts. And I can select more than one contact. And of course, I can also just tap on the plus here. To delete a list, all we have to do is just swipe to the left. So I'm going to delete that Disney list, and I can go and delete it. Or what I'm able to do is edit it. I'm just going to delete it. And now that list is deleted. So that's how we work with our lists. All right. Now let's take a look at these features down here a little bit. Since I'm in the Phone app, these are not going to be in the Contacts app. We're first going to look at Favorites. With Favorites, what I'm able to do is add contacts as my favorite. And when you do this, it doesn't necessarily add the contact. Well, it does add the contact. But also what it does is it selects, or you have to select how you want to contact them. So as an example, you're going to see Beth in there twice. Why? Because I have her as a favorite for Mail, and I have her as a favorite for FaceTime. So I tap on Mail here, and it'll open up the Mail app. If I tap on FaceTime here, it's going to open up the FaceTime app. So when you add someone as a favorite, let's go ahead and do that. I tap on the plus here to do that. And we're going to go with Abby here. I tap on her. And then you can see all of the different ways that I can add her. I can message her. I can call her. I can email her. So let's just go with Call. I tap on Call, and now it's going to add Abby for a phone call. So I tap on that, and it'll call her. But if she had two different phone numbers, let's go back and add Abby again. And we're going to go with Message. Maybe she has two different email addresses in there. What you're going to be able to do is select how you want to message her. So I can use her phone number, or I can use her email address. And it's going to add that to the Favorites. So when you add someone to the Favorites, you're not necessarily adding that specific person. I mean, I guess that you are. But you're also adding how you want to contact them. Which email address do you want to use? Which phone number do you want to use, if they have multiple phone numbers? To delete someone from the Favorites, all we have to do is just swipe to the left. And when I do, I'm able to delete them. And it only removes them from the Favorites. It does not actually remove the contact. You're just removing them from the Favorites. Next to that, we have Recents. When I tap on this, I can see all of my recent phone calls, things like that. The red means that I missed it. And if it's not red, that means that I was actually able to have a conversation with them. So this is all the recent activity. When you're looking at it, you can also see just your missed. If we keep going over to the right, we have our Contacts. We already know how that works. That manages our contacts. We have a number pad here, keypad, and this allows us to dial a number. So I just type in the number here, or I should say not dial. This allows us to tap in a number. And then we have Voicemail. When I tap on this, I'm able to see all of my different voicemails, and I can go and change the greeting. So that is how we manage our contacts on the iPhone. We can do this through the Contacts app, or we can do this through the Phone app. My preference is to do this through the Phone app, because then we're able to also add them to our Favorites, and we can see any recent activity, as well as access our voicemail. With our contacts, we can view our duplicates, merge them together. We can add them to lists. We can even change the ringtone for when someone calls, so then you can easily see who's calling just by the ringtone. And you can easily do that just by editing your contact.
