[Music] hey k-staters whether your classes are in person or online email etiquette is an important skill to success the academic achievement center is here to help you succeed email etiquette is important for students teachers and professionals it helps to build a professional image while efficiently sharing or asking for information you may use email for getting more information about a resource or office on campus communicating absences or life events to professors or support offices asking questions about upcoming assignments or homework that you are having trouble with setting up meetings with professors or advisors and working on a group project by using proper email etiquette you can clearly communicate your needs help the reader quickly identify who you are and keep track of your emails let's look at an unproductive email this email does not include a subject doesn't address the professor with an appropriate title and doesn't provide context there are many issues with this email but let's break it down with the basics with a good email there are three parts to an email that are essential the subject greeting and body and the closing in signature let's start with the subject the subject helps the reader quickly understand what the email is about emails should always have a subject if you are emailing about a class be sure to include your class name and section in the subject next you'll start the body of the email include a greeting and address the person you are contacting an example would be good afternoon professor doe make sure to include their title or position before their name insert a few lines of space and begin to type your message communicate clearly what you are wanting to accomplish with this email what are you asking of your professor or what are you sharing with them be sure to provide context or share what you have tried you don't need to add too much remember emails are typically brief but not as short as a text the last part of an email should be your closing and signature include a quick client such as thank you sincerely or regards while the closing is not necessary it helps to show warmth and understanding for the professor's efforts to help you with your success sign the email off with your preferred name as a signature and at the bottom this will help your professor better communicate with you in the future think back to the unproductive email now that we have discussed proper email etiquette let's edit this email that's much better now that you have completed your email take a moment to proofread before sending use the tool linked in the description to help review the parts of the email as discussed in our video and remember to treat everyone with kindness and respect online and offline we are proud of your work and would love to help you along your journey at k-state for additional academic support or to meet with an academic coach please email us at achievement.ksu.edu or visit ksu.edu aac
