zapier and make.com these are two of my favorite platforms because I've automated just about everything in my business now whether you want to go with zapier or make.com the reality is you need one of these platforms and there's different cases to be made for one or the other and to be frank I use both and I've been using zapier for over 10 years so in this video I'm going to be breaking down the main differences if you're trying to decide to go with one or the other because it is easier to go with one and not use the other we're going to be reviewing some of the pros and cons of each and if you stick around I'm going to be showing you how to get 12 months free of make.com teams plan I still have not paid a scent for make.com and I've automated thousands of tasks so stick around and here's what we're going to be learning we're going to be talking about the main price differences this is going to be one of the main determinant of which one you choose we're going to be talking about the learning curve if you're a total beginner and you don't adopt technology very well one of these platforms is going to be better than the other we're going to be talking about Integrations which one is better when it comes towards Integrations if you use a lot of different software what if one of them doesn't have a native integration we're going to be talking about what to do if you're more advanced are you plan to get a little bit more advanced which platform is going to be better for you and why then we're going to talk about which one is better for sharing some of them let you copy These Blueprints and automations for others and some of them a little bit more restricted then we're going to talk about which ones are better with AI and finally specific use cases for make versus zapier.com and so you know you can trust me I I've built thousands of automations across my companies we've made tens of millions of dollars with these platforms and I buil very complex automations inside of both platforms zapier and make.com so let's start off going over the price difference now I'm going to show you how to get 12 months for free on make.com But after those 12 months you're still going to have to pay you're going to be using these platforms for a long time so I'm going to save you the math and tell you that make.com is significantly less expensive than zapier and just to show you a quick overview of what that looks like if you pay for make.com on a teams plan which is what I'm going to be giving you 12 months for free or showing you how to get that $29 per month build annually and you get 10,000 operations per month now there's some Nuance here what do they consider an operation what is a task run versus not a task run but I'll tell you make.com is significantly cheaper so $29 per month for 10,000 operations per month and then looking in zapier as you can see I have this professional annual plan and I have an even more expensive plan in my PR agency but this is $130 per month for the same number of tasks per month so significantly more expensive to use zapier thenm make.com and there's some reasons for it which we're going to go into in just a second so if price is the main objection for you then make.com is going to save you quite a bit of money now I get people all the time sending me apps from appsumo or these new beta products that are trying to compete with make and with zapier and to be frank I've tried lots of them all of them are trash if you're going to choose one of these platforms choose one of the best ones it's going to make your life a lot easier however there's some up-and-comers that seem to be exciting and if you would have asked me this several years ago I would have told you make.com formerly integromat was not going to be able to compete with zapier but now here they are now let's talk a little bit about the learning curve on these platforms which one is going to be better for beginners now zapier has been around a lot longer so for that reason zapier is much more beginner friendly it's much more intuitive and they've really become AI forward so if you're trying to create an automation here you can actually use AI so when I send a slack message create a row in Google sheet you can actually tell it what you want to do and it's relatively good at simple using AI however if you want to do stuff that's more complicated you're going to have to learn how to do this manually but zapier is a lot more intuitive and I'm I'm going to show you how to just build a quick automation using a basic trigger and a basic action so here you go it's suggesting the steps for you and they are correct new message posted in slack Channel create spreadsheet row now where this is really helpful and this is where a lot of people struggle with automation is you don't know what you're capable of you don't know what apps to integrate or what things you can even automate that's where this zapier co-pilot actually comes in handy and here's a little tidbit of knowledge that most people won't tell you because it's a little bit Advanced but we're going to go there right away if these platforms do not have a native integration with your app or that native integration does not have the action that you want then you can actually make an API call to do just about anything uh and I'll show you how to do that a little bit later on and if you want to get more advanced make sure that you're subscribed to the channel and join my free community online okay so basic structure of an automation there's some sort of trigger as you can see in zapier you can pin your triggers my top apps the ones I use most frequently this is something that you cannot do in make.com make has some of these bu in tools but they're not quite as intuitive so a really common integration that people typically build is I submitted a form now I want to database something so let's go ahead and select jot form as my trigger jot form is one of my favorite form apps and I can show you how to get that for free for 6 months as well so the trigger event we're going to say new submission now one of the things I love about zapier instead of make.com is that in zapier you can grab test data from previous submissions where in make.com you can't so right now I'm testing this trigger and it's actually giving me previous records I don't have to go in and create test data every time that I want to build an automation that gets pretty frustrating and I'll show you what I mean when we go through the make.com and and build one there but here I've just gone ahead I've set up that trigger we're going to continue with that test record that I just selected and now we're going to database something this is another really common use case whether it be in notion Google Sheets is the one most people use so I'll go go ahead and do that this is an action so we're triggering it anytime that form is submitted in jot form and now we're going to create an action in Google Sheets so create an event I can look up spreadsheet row as you can see I pinned jot form I pinned Google Sheets so they're really easy to access but I can also pin these actions within the application so what are the most common things that I like to do with Google Sheets look up row and update row I also like to add row so I can come in here find create row create spreadsheet row and pin that so I can find it much faster next time so new job form submission let's go ahead and create spreadsheet row you'll have to connect your applications you do this in both platforms it's relatively straightforward and then you'll be able to select from all your different accounts so you can see the interface is really intuitive I'm just going to grab any spreadsheet this is just a test the worksheet within that spreadsheet and then you'll just fill in the columns as you see here as you can see it's really intuitive really nice you can test that step you can skip the test move on I'm going to go ahead and skip the test and then it gives you the option to publish this workflow and title it and put it into a folder really nice easy to use workflow now I'm going to come over to the left hand side here and show you some of the advanced settings you're able to use some really nice convenient easy to use settings here so autoplay override so if this fails will it automatically retry and this is just a fact of life when building automations these things will fail they're going to throw errors for various reasons one of the best things things about zapier is how easy it is to manage those errors in make.com it's not quite as easy so I can go ahead and say always replay if there's an error if a specific step errors I can hit these three dots and I can say add error Handler so if it does error it can go down this other path and that's a really convenient way to avoid mistakes and avoid automations failing now other things for ease of use here let's go ahead and add another step one thing that you'll commonly do with these automations are branches so what a branch is is these paths go down this route if a is true and go down this route if B is true it gives you a lot of control over these Pathways and makes it really easy to build these branches a little bit easier than make.com in my opinion and this is a really useful feature as you start building out a little bit more complex automations now another really useful feature within zapier that does not exist in make.com is if I want to create an action here I can actually delay within this automation for with several different options .c does not have a delay module you can only sleep for a Max of 30 seconds so this becomes really important if there's some kind of delay within the application so for example appify it's a scraping service that I use if I trigger an appify automation inside of make.com I want to give it time to actually finish so I need to give it a delay step after sometimes I need a longer DeLay So in that case zapier would actually be the better option the other really important thing that I can do in zapier right now that makes your life easy is this AI by zapier module it's one of the most powerful modules I use it all the time specifically to structure data so you'll find yourself pretty frequently in these automations coming up with data that isn't formatted quite the way that you'd like and instead of figuring out how to format it yourself using their formatting tools you can just use this AI by zapier you can tell it what you want it to do and then generate a prompt and it's actually going to prompt it on how to format that data for you and gives you the right result pretty much every time now I could talk about building all day inside of zapier but we're going to move on to make and talk about the usability and interface over there so let's go ahead and create that same scenario but in make so we're going to create a new scenario and as you can see it starts with a trigger just like every other automation we're going to select jot form here and then there's a bunch of different options they can't pin them there's some complex terminology here instant acid now I know that watch for submissions instantly is going to just watch for all the new submissions from this form now if I want to connect this to the form that I want to send data from it's actually a a few different steps I can use one of these existing hooks that I've built before typically I'll have to create a new web hook that it's then going to add to the job for now I'm fine with this because I'm I'm relatively good at using make.com now but it is a little bit of a steeper learning curve so I have to know exactly what to do in this case what does this web hook mean how do I assign it now this is how I'm going to assign it to the same form I created that web hook I selected the team on jot form and now I can select the form awesome we'll save it it's now connected to that jot form now unfortunately the only way I can get test data into this automation to start building is by actually triggering the jot form so typically what I'll do is I'll right click on this and say run this module only now it's watching for submissions from that jot form it cannot go back and take test data which makes it a little bit harder to test and fine-tune these automations because every time you want to get new test data you have to go and Trigger the whole thing again and with the form it's kind of easy but what if you trigger something a little bit more complicated like everyday scrape this giant list well scrape this giant list isn't a really easy trigger to do this is actually one that I built yesterday so to get data through that automation to test is is a little bit harder now if I want to stop this from waiting for submissions I actually have to refresh the whole thing there's no way to just like stop it waiting let's go ahead and refresh and do the next step so the next step was going to be to database in Google Sheets so this is the trigger you can see it's got the lightning bolt I'm going to add another module Google Sheets and I have all the same options so I'm going to go ahead and add a row and this is relatively the same it might not be as pretty but that's okay with me it's already got my main connection sourced I'm going to grab a spreadsheet ID so you can see it's just not quite as pretty but it does get the job done and to assign data here it actually has the correct fields from this jot form but this is not enough to start building the make automation you need the actual data so you would have to come in and Trigger this thing and instead of the formatting steps like they have in zapier you can actually come into these and select some of the the default settings from make.com so for example if I wanted to set the data today I can just go to now for name I would probably just grab a name from that jot form and that's how I assign data within make.com now to do some of the same things that I showed you in zapier such as creating paths you actually have to do something like at a router module essentially you can accomplish all of the same goals just with slightly different steps and different workarounds now the great thing about make.com is I can build these massive automations without having to worry about running up my bill a ton and the last thing I showed you from zapier was the error Handler so if I want to do the same thing in make.com I can I can click on the right hand and I can do add error Handler and it will go down that other path there's also some other ways to handle errors such as ignore break commit I won't go over all of these right now but if you're interested make sure to subscribe to the channel and join my community in school so we'll go ahead and add a break step this is the only way that you can replay make.com automations you'll add a break in case something times out now I can actually store the data and it will rerun automatically if you don't add that step you cannot rerun a make automation that's one one of zapier's biggest strengths in my opinion is if an automation fails you can just rerun the entire thing or just rerun the errored steps all right so we talked a little bit about learning curve ux UI now I would be doing you a massive disservice if we didn't talk about Integrations as we discuss these automations so with usability it's really important that they have native Integrations to the applications you want to connect to so what is a native integration in zapier for example let's say I want to connect to hyros this is a platform that I use for my ad tracking if I search for the application I see they have a native integration for hyros it shows up right here pin it I can use it and I can interact with hyros through zpr without having to code and do API calls so action event these are all the different things that are natively built in to zier doesn't mean that's all I can do with hyros but this is what's going to be easy for me to do create an order you can link your account now if I come into make.com and I want to add a platform that I know they don't have an integration with so let's try and add conversion tools this converts files from one format to another it's a really common integration that I use in zapier for example I upload a file with a VT text this is the subtitle text and I wanted to convert subtitles to a document it's a really common integration but if I'm in make.com and I type in conversion tools I can tell they do not have a native integration here whereas in zapier they do I can just add this conversion tools and convert file and get results right there natively in zapier however in make.com if I want to use that application the only way to do it is going to be to make a API call so I have to select this HTTP module I have to make an oth request I have to go into conversion tools API find their API documentation and now I have to figure out how to make an API call to this software and I've gotten relatively good at this over the years it's in my it's in my course if you're interested in learning how to do this it's a little bit more advanced but the point I'm trying to make is zapier has a lot more native Integrations than make.com so what I recommend you you do as you're choosing one platform or the other is to figure out what your core softwares and use cases are write them all down and then you can come into zapier Integrations and make sure that your platform is listed here and zapier it looks like has 8,077 Integrations natively let's see how many make.com has and make.com looks like it has 2386 so that's like a fourth the amount of zapier so really important to know what applications you're going to be using and if they have a native integration for that application typically they do at least with the most common platforms however that does not mean just because they have a native integration that they have the native integration and action that you want to accomplish what do I mean by that so coming back into zapier for example let's go into that hyro step these are the actions that are available to me for hyos I can create call click lead order or refund in order however what if I want to do something else if I come into the hyros API documentation these are all of the actions that are actually available to me now as you can see on this left side there's quite a bit I can do a lot of different API calls using their API and because of that make.com and zapier are probably going to have different actions that you can can use and hyros might not be the best example but just make sure that if you're choosing make.com that it can do the right actions that you need with your application not just that it has your application all right let's talk a little bit about building Advanced automations now in my opinion every Advanced automation has a few things in common especially nowadays they are extended they have multiple Pathways they typically integrate some sort of scraping service and some sort of AI service this automation for example as you can see it routes to four different Pathways I'm making API calls within the automation I'm using AI within the Automation and I'm even doing scraping within the automation now can I do this in both platforms and the answer is absolutely zapier and make.com can both accomplish all of the same things there's almost nothing that I can do in make.com that I can't do in zapier and vice versa with a couple main exceptions the main one is I can't replay make automations if they fail I can't control those replays and I can't add delays inside of make.com like I can in zapier those are the main two and I'll show you why they're so important in a little bit but in terms of accomplishing the same task yeah I could absolutely build this same exact thing in zapier however because of how many steps these sometimes take and this is like a medium-sized automation if this automation is triggering multiple times a day this is going to cost me a fortune if if I'm using zapier so if you're somebody who's building large automations that are running frequently then in my opinion you should be using make.com specifically for cost and we're going to get more into individual use cases but if you're Advanced if you're building these complex long automations that are triggering multiple times a day and this one is so let's go ahead and look at the history here this one is triggering a lot this whole automation is running a ton and all of these are are the steps that are consumed and by the way I've still paid Z for this I'm going to show you how but I still haven't paid a cent for make.com automations I'm going to show you how to do the exact same thing for anything that's running like this that's this large this would cost me hundreds of dollars per month if I was in zapier because of the amount of tasks that were consume here's another example of a a complex automated task built within make.com and these honestly look a lot more complicated than they are essentially what we have to do in make.com is once we go down these paths these routes it's a lot of copy and pasting so one of the things that's great about make.com that actually zapier cannot do is if I'm editing this zap I can just shift and hold and select a multiple different automations at once and then copy them and paste them somewhere else in zapier you kind of have to do that one by one so just to reiterate for those Advanced automator out there or if you're looking to get Advanced then I do recommend using make.com specifically for cost savings however if cost is not an object for you and you want the most usable reliable version then zapier is going to be better specifically for how it handles errors and handles replays so what if you want to share these automations with your friends family maybe have a school Community where you give these automations to so I can save you the time and headache of building them yourself and this is exactly what we do inside of our community too so inside of my community we actually give you access to this where we give you tons of make blueprints zapier blueprints so how do you do this if you wanted to do the same thing and give These Blueprints as a lead Magnet or share them with your community for free you can actually or you can sell blueprint print a lot of people sell these for a lot of money I could probably sell some of mine for a lot of money can you do that in zapier and make and what does that look like well the answer is yes you can share blueprints in both however zapier is a lot less friendly about it so let's go into my list of automations here's a bunch of the automations that I have built and running they're organized into nice folders so as you can see I've got all all of these different folders for different use cases now if I wanted to for example share my new course video to Andrew so I upload a course video this sends it to my coo for processing let's go ahead and open up this automation here and I'm going to try and give you a template for it so to do that I'm going to click on this down arrow I'm going to create template however I hit an error failed to create zap template uses a restricted app uses an invite only app and that's actually not the only problem because it has multiple paths it's also not going to let me share this as a template so a couple of main restrictions in zapier for sharing if it's got multiple paths it usually doesn't let you share as a template and if it uses specific apps it doesn't let you share as a template I'm not even sure what invite only app that it's referencing here that prevents me from sharing it but it makes it really difficult to to share my zaps with other people however with make.com even these really complex zaps with tons of paths and tons of applications makes it incredibly easy for me to give you the blueprint to that automation so make.com if I want to say share this this is the cold email blueprint for my insiders I can just hit these three dots here and Export that blueprint and it's going to give me a Json file now I'm going to come in to another automation let's just say this one that I was using as a test I'm going to import blueprint and I'm going to import that exact same blueprint that I just grabbed we're going to save and it's going to import that entire zap with all of my prompts with all of my automations set up into my make.com account and this makes it incredibly easy for me to share the really complex stuff that I'm working on with my community so that is a massive leg up for make.com over zapier the ease of use for importing and exporting automations just really not possible in zapier but really really powerful in make.com I then provide These Blueprints for my community with instructions on how to use them so you can just download and import that Json file into your own make.com so that you can avoid the sometimes days that it takes to build one of these comp complex automations now okay what about AI do these platforms use AI do the AI That's integrated into them make your life easier and what about integrating your own AI applications into these platforms well I'll say for for using your own AI applications like chat GPT or Claude or deep seek they both have good native Integrations that you can use fairly easily however I think zapier is light years ahead of make when it comes to implementing AI to make your life easier and that's true in a couple ways one we just talked about and that was this AI by zapier step which does not exist in make.com and this exists to make your life really easy when it comes to formatting data the second way that zapier makes your life really easy let's come into co-pilot here you can just tell it what automations you want you want to create and as a beginner this will help you find the right steps find the right actions find the right automations and start building really quickly and easily especially as a beginner now make.com sort of tries to do that so they've got this AI assistant here is mostly just a a chatbot that's trained on some of make.com data but it really can't interact with your automation the same way that zapier does and I don't find myself using it nearly as much I mean now I'm relatively advanc so I wouldn't need to but I've just noticed that the make.com one does not work nearly as well as the zapier one now let's talk about some specific use cases when does it make sense to use zapier and when does it make sense to use make.com and why the hell do I use both if I'm so Advanced and I can build the same things in make.com well the main reason that I still use zapier is particularly for automations like billing automation really important ones that can't fail and if they do fail I need to be able to replay it really easily and I need to be able to track when they fail the other reason that I'll reach for zapier instead of make.com is if I know that zapier has a native integration to something and I just need to build a really quick short automation so let's go into go high Lev subscription fail one of my client subscriptions failed this is what the automation essentially looks like failed payment make sure that it was that specific subscription type finds the row in the spreadsheet if it's a new payment fail it's going to update the spreadsheet and then add them to a f payment fail automation inside of ghl it's a really common workflow for payment fails now here's all the zap runs we've got all the ones that have been filtered out and I can actually filter by errors it will also notify me if there's an error and this might not be a good example because all of these are working correctly but say this was an error and I wanted to replay it all I would have to do is Select this box and it gives me two options here replay the entire zap replay the errored steps so if if there's an issue with the automation I can come in and fix it and then I can replay the entire run lets me get all of the data from that automation without having to trigger something like a payment fail which I can't really trigger that's a really difficult thing for me to to re-trigger for somebody so for that reason Z for all of your billing automations the other use case is if zapier has an integration that make.com does not now I mentioned that there's nothing zapier can do that make.com can't do that's true however there is stuff that's much easier in zapier than in make.com because of native Integrations for example elective is my buy now pay later provider they help my clients get into my program without paying a full price upfront make.com does not have a native integration for Ive so if I want to build an automation with elective I can do two things I can either use zapier or I can figure out how to do an API call to elective inside of make.com now this automation is only going to charge me three three task runs because I've got one two the native zapier filters are not don't count as a task run this is a really short automation so I can either build this in zapier or I can try and struggle to get it into make.com but this one's not going to cost me a lot of credits so for that reason I reach for zap here now I think we already talked about the main use cases for make.com and it's this it's if you're building these long drawn out complex automations that trigger frequently then you want to be using make.com specifically for the cost savings that you're going to get this would be a fortune to run in zapier so for that reason once you get a little bit more advanced and you start automating everything it might make sense to have subscriptions to both all right now I made you a deal and I told you I would tell you how to get make.com free for 12 months so here we go I have a software Vault that I give access to everybody
