hello and welcome uh this video is to show you a little bit more about how to use the Google Docs forms Tool uh some of you may be familiar with it others of you may not but this tutorial should hopefully help you to uh answer some of those questions or overcome those hurdles that you may run into so the first thing that you're going to want to do uh is go out to Google and if you go to Google it should look something like this I'm using the the Google Chrome browser I do tend to find that uh the the Google Docs forms tool does work best either in Chrome or Firefox um some students have had luck with it in Safari so if that's the only thing you have don't don't worry um now you will need a Google account and you're going to come into this little uh these little boxes up here and when you click on that it's going to pull up this drop down and yours might look a little bit differently if you've customized it or something like that but I'm going to go into the the Google Drive icon uh and what this does is this brings me to uh the Google Doc area and this is where if you use uh Google for any of your your documents if you use them to upload photos this is where that stuff will be um yours might look like this it also may look something like this again that's a personal preference as to how you like to to organize your information this is also too if you don't have a Google account uh I'm already logged into my Google account so it'll it's here uh if you don't have an account this is where I would ask you to uh either create one or log in but if you have a Gmail account you should have a Google Docs account as well so in order to use now there's lots of things in the the Google Drive form uh the Google Drive tool but for this we're really going to focus on the forms tool which is an online survey tool that Google uh has available to you it's free and it's pretty robust for a free tool which is why I have you guys uh use it in order to access it you're going to go over here to new uh and then as you scroll down you'll see Google Docs Google Sheets Google Slides you're going to click on more and that's where you're going to find Google forms so when you click on that it'll pop up a new page or a new browser uh and it'll do something that looks like it'll give you something that looks like this uh here you've got an option for your your titles of your survey so Sports example survey i' also gives you an option a place here for your form description uh this is where you can put that introductory thank you paragraph uh in so thank you for your oops um and again you can CL clarify some of the wording on that that's a little uh vague there and then it starts out with one question and here this is a starts a multiple choice question uh but let's say you want something different here you can select what type of question you would like I'm going to leave this one as a multiple choice uh so that way you can kind of see how it works so I'm going to say um what is your favorite sport and then down here you can type in your different options so maybe we're want to do basketball baseball football [Music] hockey soccer and then you also have an option to add other when you click on that gives you a little box uh for that other now down here you have some settings for the question uh you can make the question required by do using this little slider here uh the little drop downs also you can add a description to this if you want you can also uh go to a specific section in the survey based on the answer or you can shuffle your options if you really don't like your question you can delete it or you can create a duplicate question now once You' finished your your question over here you're going to probably want to use some of these options so you can add another question uh you can add another title area a picture a video or a section break I'm going to add another question and uh maybe for this one I'm going to use a uh rating scale uh so you can when you do that it drops down and it gives you numbers now you can choose your numbers uh starting with one to whatever your your top number is here uh remember that you want to make sure that you have an odd number of answer options when you're using scale questions so one to five works really well uh you can also do zero to 10 but remember that one to 10 is not a good option because you don't actually have that neutral midpoint so then with this um maybe you can have please rate how much you enjoy your favorite sport and then here you'd have your label so don't enjoy it now it's not a great question but again it kind of shows you how how it works you can make it required that's sort of thing now let's say you're doing uh you're using this for your interview guide for class what you're going to want to do for that is either use these paragraph uh or short answer options to kind of show how the the questions would flow through so again if you're doing a survey you don't want to use a ton of those uh open ended ones but if you are doing your interview guide that's what you would use with those there so uh one of the things about Google is that it automatically saves your items for you so that uh is pretty helpful if you want to change the color of your survey uh you can go up here and select something different so maybe I want to do this lime green color instead of uh purple uh you can also add an image background if you would want to do that you can also preview what your survey would look like for the people who are taking it so that's just this little eyeball button here you also have some settings if you click on that it's going to give you information about uh how people can get it uh there's a there's a present ation there's also some quiz options um if you'd want to do that but we're not going to use those for the purposes of of this class uh there's also uh similar to at the end of each question there's this three little dots here to indicate some more options here you can make a copy of your survey you can delete the whole thing uh you can also get a pre-filled out link uh you can also do some scripts and there's some additional add-ons if you're uh into uh some of the the more technology pieces I don't really show those because it can get a little convoluted if you're if this is the first time you've ever worked with a survey but it does have some some options there uh you can also add collaborators so let's say maybe you're out in the workforce and you're doing some work with another partner you can add them as a collaborator here uh and you can give them a link or you can send them an email and that would allow them to uh access the survey to edit it you can set their permission so that two people can work on the same document at the same time once you've put your your survey all together you you've proved it you've really looked through it to make sure you have all the questions that you want uh then you're going to have to do something with that survey so for the purposes of the class you're going to have to give me the link so that I can look at the the survey uh but if you were to send it out to to people you'd also need to to do something similar so you're going to click uh in order to do that you're going to click this little send button so you can either send it via email from inside the the Google Doc so maybe you have a bunch of email uh people that works as well you can also pick up a link uh this is the link that you're going to want to share with me for your assignment uh you can either use the full link or you can uh click to shorten it to to short little bit of a shorter URL there uh also maybe you want to embed it in a a website here would be the HTML code for uh being able to to embed that and to do that so those are the different ways that you can then send the form out uh this link similarly would be what maybe you have a uh a mass email campaign uh manager that you're running this would be the use the the link that you could send uh via that too because as you get uh as as some of you may know if you have too many people on the the two part of of an email like this or too many people copied you'll eventually get uh blacklisted and don't want to don't want to do that so so uh again this is the link here that you'll you'll want to send me uh again either the shortened version or the full full version once you have some responses back uh this you can click on this responses Tab and you'll be able to see what people answered uh gives you some quick kind of tables and highlights your your information so that's one of the things you can also then export this data into Excel or Google Docs sheets so that's kind of how Google Docs how the Google Docs form tool work uh it's pretty simple and and straightforward and I hope this helps you with your assignments for this week thanks
